Executive Purchase - Procurement

Role & responsibilities

Day-to-day activities of purchase requisition management

• Timely supply of material from vendors and the categories assigned
• Ensure finalized rates and cost budgets are tallied efficiently

Perform all activities related to maintaining vendor database

• Provide inputs for market analysis for rates, selection of buyers, rate negotiation
• Prepare comparison statements of rates offered by vendors to be submitted for final approvals
• Check for alternate sourcing channels and contact suppliers
• Float RFQ (Request for Quote) & RFP (Request for Proposal) to the approved Suppliers
• First level Price negotiation with suppliers for new items and provide inputs for higher level negotiations
• Negotiation and finalisation of Bid/Supplier and preparation of Technical / cost Comparison sheet.
• Maintenance of vendor database and updating of the same in case of new empanelled vendors
• Assist in performing vendor audits and vendor empanelment

• Receipt of indents from various teams
• Creation of Purchase order in the system and ensuring PO is delivered to supplier
• Follow up for approval of PO/WO for goods purchased as per defined process
• Ensure PO is delivered to the vendor/supplier
• Follow up for material delivery with supplier and/ or transporter
• Ensure GRN is done in time
• Follow up for Payment, in case of delays and Tax forms, where required.
• MIS updates for goods purchased and IN stock, Non-moving and WIP inventory
• Follow up for Supplier overdue statement for strategic and high-volume Suppliers
• Management of supplier rate contract
• Review of PR to PO pending data
• Review of Pending PO and its short closure of unwanted Purchase order
• Supporting finance for Supplier payment reconciliation on a yearly basis
• Follow up for Supplier overdue s statement for strategic and high-volume Suppliers
