Job Description

Administrative & Office Management

  • Manage the Directors calendar, appointments, meetings,  travel plans.
  • Organize and prioritize daily schedules to ensure optimal time management.
  • Draft, review, and finalize official correspondence, reports, and presentations.
  • Maintain accurate records, files, and confidential documents.

2. Communication & Coordination

  • Serve as the primary point of contact between the Director and internal/external stakeholders.
  • Handle emails, calls, and inquiries on behalf of the Director with professionalism.
  • Coordinate with department heads to ensure timely submission of reports, MIS, and project updates.
  • Facilitate smooth communication flow within the organization.

3. Meetings & Follow-ups

  • Schedule and prepare meeting agendas, minutes, and briefing materials.
  • Track actionable points from meetings and ensure timely follow-up and closure.
  • Assist the Director in planning events, reviews, and strategic discussions.

4. Project & Task Management

  • Support ongoing projects by monitoring timelines, progress, and deliverables.
  • Coordinate with cross-functional teams to ensure alignment with the Director’s directives.
  • Prepare reports, dashboards, and presentations for project updates.

5. Confidentiality & Professionalism

  • Handle sensitive information with the highest level of confidentiality and integrity.
  • Represent the Director in meetings or interactions when required.

6. Travel & Logistics

  • Arrange domestic and international travel, accommodation, itineraries, and related logistics.
  • Process travel claims, reimbursements, and expense reports.

7. Administrative Support for Strategic Initiatives

  • Conduct basic research, gather data, and prepare analytical summaries.
  • Assist in drafting proposals, business plans, and communication notes.
  • Support execution of key strategic initiatives assigned by the Director.

Skills & Competencies Required

  • Excellent communication skills (written & verbal).
  • Strong organizational, multitasking, and time-management abilities.
  • High level of professionalism, etiquette, and discretion.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and digital tools.
  • Ability to handle pressure and work independently.
  • Strong interpersonal skills and stakeholder management.
