Job Description

Key Responsibilities1. Front Desk s Client Interaction

· Greet all clients and visitors with a warm, professional, and courteous attitude.

· Manage walk-in inquiries, guide them about treatments, and direct them to consultants/doctors.

· Handle in-person, telephonic, and WhatsApp inquiries promptly and efficiently.

2. Appointment s Schedule Management

· Maintain and manage doctors’ and therapists’ schedules.

· Book, confirm, and reschedule appointments to optimize clinic operations.

· Send reminders to clients regarding their appointments.

3. Sales s Billing Support

· Brief clients about available treatments, offers, and membership packages.

· Support the sales team in upselling treatments and skincare products.

· Handle billing, receipts, and POS transactions accurately.

4. Client Experience s Relationship Management

· Maintain a premium client experience from entry to exit.

· Handle client feedback, complaints, and escalations professionally.

· Ensure client data and treatment history are accurately updated in the CRM system.

5. Coordination s Administrative Tasks

· Liaise between doctors, therapists, and the sales team for smooth clinic operations.

· Maintain stock registers for products and consumables at the reception area.

· Ensure the reception area and waiting lounge are always clean, organized, and presentable.

Key Skills s Competencies

· Pleasant personality with excellent communication and interpersonal skills.

· Fluent in English, Hindi, and Marathi (preferred).

· Strong organizational and multitasking abilities.

· Customer-first mindset with a polished and confident demeanor.

· Comfortable using clinic management software / CRM tools.

· Prior experience in aesthetic clinics, wellness centers, spas, salons, or premium hospitality is a plus.

Qualifications

· Bachelor’s degree or Diploma in Hospitality / Healthcare Administration /

Related field preferred.

· Minimum 1 year of relevant experience as a receptionist or front desk executive.
