Role & responsibilities
Responsible for leading and supporting Human Resources, Employee Relations, Facility Management Services (FMS), Security, and government liaison. Accountable for implementing HR and Industrial Relations (IR) policies and systems to foster employee engagement and development, ensure harmonious workplace relations, and support uninterrupted 24/7 business operations and the growth of Vizag Duty-Free business.
AOP Preparation:
- Assist the Head - HR in preparation of HR AOP & monitoring Budget vs Costs.
Talent Acquisition
- Maintains the database for recruitment, candidate selection.
- Coordinating with managers to identify Manpower needs.
- Sourcing potential candidates through Portals.
- Screen, Interview, and Assess Candidates
- Planning interview and selection procedures and Hosting /Campus Recruitment.
- Maintains and update the job requirements and job descriptions for all positions.
- Identifying and Selection of Brand Ambassadors.
- Facilitating New Joiners for Induction/On boarding.
Learning & Development
- Identifying L&D needs, managing learning nominations and scheduling for need based programs.
- Delivery of new training programs (Functional, Product and Behavioural).
- Evaluation and assessments of all learning programs (feedback and post workshop analysis).
- Coordinate, ensure the delivery of Training Programs like V&B, COBCE, and PASH, Brand/Category Trainings.
Employee Engagement
- Coordinate and lead Employee Engagement Survey.
- Identifying the areas of improvement and develop departmental/strategic plans for Employee Engagement Survey
- Organize Employee Communication platforms Top Down and Bottom up (BOD, Town Hall, HR Connect, Skip level meetings, CEO Communication Meetings, offsite Meetings), Sustain and improve R& R Initiatives (monthly Star Team Celebrations & Birthday Celebrations) and Fun activities. (Cricket Matches, Festival Celebrations, and other social engagement activities).
Joining & On boarding:
- Joining formalities including creation of PERNR, Bank account, Email ID, Personal file. SAP database management. Issue of ID Cards/ Access Cards.
Database Management including Personal File Management:
- Maintenance of Employee data
- Maintenance of Personal files of employees with all relevant documents generated from time to time.
Monthly Payroll Process Management and:
- Attendance and Leaves Management
- Tracking and updation of eligible/approved Incentives, Increments, Promotions, Push Monies, Brand Allowances etc. and ensuring their payment.
- Ensure adherence to Pre-Payroll process,
- Ensure Short collection deductions in Payroll.
Exit Formalities and Documentation:
- Computation of Full and final settlements of separating employees
- Ensure issue of Relieving letters & Service Certificates to the separating employees under acknowledgement
Statutory Compliances:
- Preparation & remittances of PF, ESI, PT Challans.
- Collation of employee data for GMI, GTA, GPA on monthly basis and their coverage.
- Submission of Statutory returns viz., Employment Exchange, Shops & Establishment, Contract Labor, Bonus, PT, etc.
- Obtaining Trade Licence & attending to Statutory Audits.
- Provide support for PF withdrawals & transfers
- Provide support in ESI & Mediclaim issues and claims etc.
Employee Relations & Discipline:
- Maintain Harmonious IR, Ensure 24/7 uninterrupted business continuity.
- Union free environment, No Third-party intervention.
- Timely Disciplinary Proceedings (Issuing Show cause letters, warning letters, attending.
- Redressal of Employee Grievances.
Security Clearance:
- Preparation of Concessionaires Security Program and submission to Bureau of Civil Aviation Security.
- Verification of Director Antecedents.
- Verification of Company Antecedents.
- Preparation of Quality Control Program.
Security Processes at Duty Free :
- Recommend the security standards, procedures & guidelines.
- Carry out departmental briefings from time to time to inform them about security aspects.
- Responsible for incorporating and implementing SOP with respect to Men and Materials.
- Carrying out all investigations related to pilferage/damage.
- Regular background check of all employees of Kannur Duty Free.
Billing Process:
- Monitoring & Compliance of Billing/Cashiering process
- Checking the accuracy of goods sold/taken by customers
AEP Management :
- Obtain necessary approvals from BCAS from time to time.
- Issuance of Airport Entry passes to all eligible employees and vendors.
- Obtaining necessary approvals for foreign visitors as per BCAS guidelines.
Regulatory Compliances / Stakeholders
- Obtaining necessary clearances / permissions for special movements of staff and material within the guidelines of CISF.
- Obtaining necessary permission for all promotional activities from regulatory bodies.
- Responsible in obtaining Police No Objection Certificate for running Duty Free business.
- Good relations with customs, CISF, Airport Operator and other local Govt bodies
Preferred candidate profile
- MBA in HR along with LLB (Preferable).
- Having 5 to 8 Years of relevant experience in Service / Retail Industry.
- End to end knowledge of Payroll Management and knowledge of statutory compliances
- Knowledge in MS-Office tools like, MS Excel, MS PowerPoint, MS Word Excellent Verbal and Written communication skills
