Job Description

Job Purpose

To ensure timely, cost-effective, and compliant procurement of pharmaceutical raw materials (APIs, excipients, solvents, packaging-related RMs) while meeting quality, regulatory, and production requirements.

Key Responsibilities

Procurement & Sourcing

Plan and execute procurement of raw materials as per production plans and inventory norms.
Identify, evaluate, and develop approved vendors in line with quality and regulatory requirements.
Float RFQs, negotiate prices, delivery schedules, payment terms, and finalize purchase orders.
Ensure continuity of supply and mitigate risks related to shortages or single-source vendors.

Vendor Management

Maintain and periodically review the Approved Vendor List (AVL).
Coordinate with QA/QC for vendor qualification, audits, and performance evaluation.
Resolve vendor-related issues such as delays, quality deviations, shortages, or price escalations.

Quality & Compliance

Ensure procurement from vendors compliant with
GMP, GDP, and regulatory standards
( WHO, EU, etc.).
Ensure all materials are procured with complete documentation (COA, MSDS, regulatory certificates).
Support regulatory inspections and audits by providing procurement-related documents.

Inventory & Cost Control

Monitor inventory levels to avoid stock-outs or excess inventory.
Coordinate with Planning, Stores, and Production for material availability.
Work on cost optimization initiatives, alternate sourcing, and long-term contracts.

Coordination & Documentation

Coordinate with QA, QC, Production, Finance, and Stores for smooth material flow.
Maintain accurate procurement records, MIS reports, and supplier performance data.
Ensure timely GRN processing and invoice reconciliation with Finance.
