Air Freight Executive

Role & responsibilities

Key Responsibilities

1. Shipment Coordination

• Arrange and manage air export shipments from booking to final delivery.
  
• Communicate with airlines, co-loaders, agents, and freight forwarders for space allocation and flight confirmations.
  
• Coordinate pickup and delivery schedules with transport teams and warehouses.
  

2. Documentation & Compliance

• Prepare and verify export documents such as:
  
• Commercial Invoice
  
• Packing List
  
• Air Waybill (MAWB/HAWB)
  
• Export Declaration / Customs Documentation
  
• Certificates of Origin, MSDS, or permits (if required)
  
• Ensure all shipments comply with

• Submit export documentation through relevant customs systems (e.g., AES, EDI, ICEGATE depending on country).
  

3. Customer Service

• Serve as primary point of contact for clients for air export shipments.
  
• Provide shipment updates, resolve issues, and manage special customer instructions.
  
• Maintain strong customer relationships and support retention efforts.
  

4. Operational Execution

• Coordinate with warehouse teams for cargo receipt, labeling, screening, palletizing, and loading.
  
• Ensure compliance with aviation security programs (e.g., X-ray, ETD screening).
  
• Monitor flight status, troubleshoot delays, and ensure cargo departs on schedule.
  

5. Billing & Record Keeping

• Prepare job files, maintain shipment records, and close files promptly.
  
• Verify vendor invoices (airlines, transporters, warehouses).
  
• Prepare and issue invoices to customers in a timely manner.
  
• Ensure cost control and margin protection.
  

6. Communication & Reporting

• Communicate proactively with overseas agents regarding routing, flight schedules, and documentation.
  
• Prepare daily/weekly reports for management (shipment status, volumes, exceptions).
  
• Escalate operational issues promptly.
