TrueAds Pvt Ltd is a leading signage and advertising solutions provider specializing in LED boards, signboards, digital prints, branding, mementos, and corporate gifts. We focus on high-quality output, efficient service, and strong client satisfaction. We are currently looking for a capable Administrative Executive to support our office operations in Kottayam.

Job Overview

We are seeking a proactive and detail-focused Administrative Executive to manage office administration, internal coordination, and documentation tasks.

Key Responsibilities

  • Oversee daily office administration and ensure smooth functioning.
  • Maintain organized records, documentation, job files, and office registers.
  • Coordinate with internal teams—Design, Production, Marketing, Billing, and Installation.
  • Handle professional communication with clients and vendors via phone, WhatsApp, and email.
  • Prepare daily work reports, quotations, project updates, and basic invoices.
  • Assist in managing inventory records, material entries, and vendor follow-up (office-based).
  • Manage meeting schedules, visitor coordination, and office calendars.
  • Support HR-related tasks such as attendance management, leave records, onboarding documentation, and maintaining staff files.
  • Prepare presentations, work summaries, and administrative documentation for management.
  • Graphic designing knowledge is a plus—basic CorelDRAW/Photoshop editing will be an added advantage.

Requirements

  • Bachelor’s degree in Business Administration / Commerce / Management or related field.
  • Minimum 2 years of experience in administration or office coordination roles.
  • Strong proficiency in MS Office (Excel, Word, Outlook).
  • Good communication skills in English and Malayalam.
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to work responsibly and independently.
  • Experience in signage, printing, or advertising industry is an added advantage.
  • Basic graphic design knowledge is desirable but not mandatory.
