1. Statutory Compliance & Industrial Relations
  • Ensure 100% compliance with all statutory requirements under applicable Business & labour laws – as applicable in the Admin’s purview.
  • Oversee timely renewal and remittance of statutory licenses and returns in the – as applicable in the Admin’s purview.
  • Liaise with statutory departments for inspections, hearings, and compliance submissions – as applicable in the Admin’s purview.
  • Maintain updated statutory registers, records, and ensure statutory displays at all times and facilitate inspections or audits – as applicable in the Admin’s purview.
  • Support HR Team in maintaining harmonious Industrial Relations environment at the plant.

2. All Support Services Manpower Control
  • Implement and monitor attendance systems for workforce.
  • Verify and process monthly contractor bills and ensure timely payment.
  • Review and renew contractor agreements, monitor compliance, and maintain contractor documentation.

3. Security Management
  • Ensure comprehensive plant security through trained manpower, electronic surveillance (CCTV), and access control systems.
  • Liaise with security agencies for recruitment, training, and deployment of guards.
  • Conduct periodic security audits and implement corrective measures.
  • Manage fire safety systems and emergency response drills in coordination with EHS.
  • Coordinate with local police and district authorities for security-related matters.

4. Canteen & Welfare Management
  • Oversee daily canteen operations, hygiene, and food quality.
  • Conduct regular canteen committee meetings and ensure compliance with 5S and safety standards.
  • Arrange periodic health check-ups of canteen staff and ensure personal hygiene norms.
  • Manage procurement of canteen equipment, consumables, and annual maintenance contracts (AMCs).
  • Ensure smooth and timely distribution of uniforms to employees.

5. Housekeeping, 5S & Facility Management
  • Ensure high standards of housekeeping, pest control, horticulture, and sanitation across plant premises.
  • Drive 5S and Kaizen initiatives to maintain workplace efficiency and cleanliness.
  • Oversee building, HVAC, STP, and water management systems maintenance through AMCs.
  • Ensure facility upkeep, space utilization, and timely repair of plant infrastructure.

6. Transport & Travel Management
  • Manage employee bus services and pool vehicles, ensuring route efficiency and safety.
  • Coordinate for guest travel arrangements including cab bookings, hotel and guest house accommodations.
  • Ensure timely renewal of vehicle documents and maintenance schedules.
  • Monitor and control transport costs within approved budgets.

7. Vendor & Cost Management
  • Identify and develop cost-effective vendors for all administrative services—housekeeping, transport, security, catering, stationery, etc.
  • Conduct vendor performance reviews, negotiate service contracts, and manage renewals.
  • Prepare and monitor annual administrative budget, ensuring cost optimization and adherence to financial controls.
  • Ensure timely processing of vendor invoices and payments.

8. Office & Asset Management
  • Ensure proper maintenance, repair, and utilization of office assets, furniture, and IT equipment.
  • Maintain records of fixed and movable assets, coordinate disposal of scrap and obsolete material.
  • Ensure uninterrupted utilities (water, electricity, HVAC) and maintain preventive maintenance schedules.

9. MIS & Documentation
  • Prepare and present monthly MIS reports on administration KPIs – housekeeping, canteen, transport, security, contractor compliance, and utilities.
  • Maintain records of licenses, AMCs, budgets, vendor performance, and statutory filings.
  • Drive SOP preparation, review, and process improvements within the admin function.

10. Employee Engagement & CSR
  • Support employee welfare, recognition, and engagement initiatives at the plant.
  • Organize events, festivals, and celebration programs for employees.
  • Coordinate CSR activities in alignment with company policy and local community needs.
11. New Factory / Facility within the Wada Complex Set Up
  • Lead end-to-end administrative setup of new factories, including:
  • New office and facility infrastructure setup
  • Cafeteria design and setup for 500+ employees
  • IT infrastructure, medical centre, and guest house setup
  • Temporary office container setup for employee seating
  • Security infrastructure, access control systems, and surveillance network installation.

12. Maintain OHC
  • Manage the Occupational Health Centre and coordinate periodic employee health check-ups.
  • Ensure collaboration with local hospitals for medical tie-ups and emergency support.
