Admin Executive' (Travel Management)

ROLE OVERVIEW

The person will be responsible to manage the organizations travel arrangements and ensure accurate verification of expense bills. The role requires coordination with employees, vendors, and internal teams to streamline travel and expense processes while maintaining compliance with company policies.

KEY RESPONSIBILITIES

  • Coordinate domestic and international travel bookings (flights, trains, hotels, cabs, etc.) for employees as per company policy.
  • Negotiate and liaise with travel vendors to ensure cost-effective bookings.
  • Address and resolve travel-related queries or issues raised by employees.
  • Receive, check, and verify bills/claims submitted by the fieldforce against supporting documents (travel tickets, hotel invoices, food bills, etc.).
  • Ensure adherence to company reimbursement policy before forwarding bills for approval.
  • Maintain records of expense submissions, approvals, and reimbursements.
  • Highlight any discrepancies or policy violations to the concerned manager.
  • Maintain and update travel and expense trackers.
  • Support HR/Finance teams in audit and compliance requirements related to travel and reimbursements.
  • Assist in other administrative tasks as required.

REQUIRED SKILLS & COMPETENCIES

  • Good communication (written & verbal) and negotiation abilities.
  • Attention to detail with strong verification skills.
  • Proficiency in MS Excel, MS Word, and email correspondence.
  • Ability to handle multiple requests and prioritize tasks effectively.

QUALIFICATION & EXPERIENCE

  • Graduate in any discipline (preferably with specialization in Administration/Travel Management/Commerce).
  • 2-4 years of experience in administration, travel coordination, or expense verification.
  • Experience in working with fieldforce expense management will be an added advantage.
