Job Description

Key Responsibilities1. Vendor & Purchase Management

  • Coordinate with vendors for office supplies, services, printing, travel, logistics, and training material procurement.
  • Maintain vendor database, quotations, comparatives, and pricing records.
  • Process vendor bills, manage follow-ups, and track payments.
  • Ensure timely renewals of AMC, subscriptions, software licenses, and service agreements.

2. Billing, Expense & Accounting Support

  • Prepare and maintain monthly expense sheets, approvals, and reimbursement records.
  • Track payments, expense claims, and maintain proper supporting documents.
  • Assist in recording entries in accounting software (Tally/Zoho Books).
  • Support invoice creation for training programs, consulting services, and client engagements.
  • Maintain petty cash account, receipts, vouchers, and reconciliations.
  • Coordinate with CA for GST/TDS working and monthly compliance.

3. HR Coordination

  • Support recruitment activities—posting roles, screening applications, scheduling interviews.
  • Assist in onboarding of new employees (documentation, ID creation, induction).
  • Maintain attendance, leave records, timesheets, and monthly HR reports.
  • Coordinate employee travel, tour approvals, reimbursements, and settlements.
  • Help maintain employee files, contracts, and statutory documentation.

4. Administrative & Office Operations

  • Manage day-to-day office administration—stationery, housekeeping, facility upkeep, equipment management.
  • Draft letters, emails, reports, and internal communication as needed.
  • Support logistics for training programs, workshops, client meetings, and outreach events.
  • Maintain physical and digital filing systems for admin, HR, vendor and finance records.
  • Manage calendars, schedule meetings, and coordinate with internal teams.

5. Documentation & Compliance

  • Maintain proper records of MoUs, agreements, purchase orders, payment records, bills, and receipts.
  • Ensure audit readiness by organising vouchers, invoices, and documentation.
  • Assist senior management in compliance-related documentation for HR, finance, and operations.

Job Type: Full-time

Pay: ₹9,963.27 - ₹15,366.21 per month
