Tender Executive

About the Role

The Tender Executive is responsible for end-to-end tendering process for highvalue civil construction and turnkey interior projects. This includes overseeing cost estimation, documentation, compliance, vendor management, and coordination with internal and external stakeholders. The role is key to driving the companys business growth through strategic bid submissions, effective risk management, and ensuring the delivery of competitive and winning proposals.

Key Responsibilities

1. Tender Leadership & Strategic Management

- Lead the full cycle of tendering activities from pre-bid to post-submission stages.

- Strategically evaluate tender opportunities based on feasibility and profitability.

- Assign roles, monitor progress, and ensure timely submission of high-quality proposals.

- Obtain internal approvals and oversee final documentation before submission.

2. Cost Estimation & Value Engineering

- Review and guide the preparation of accurate BOQs, rate analysis, and pricing structures across all project components.

- Approve final pricing ensuring profitability, competitiveness, and alignment with company standards.

- Collaborate with the MEP Engineer for accurate estimation of MEP components.

3. Vendor, Subcontractor & Procurement Coordination

- Supervise quotation collection, vendor negotiations, and technical validation of supplier inputs.

- Build a strong supplier network and ensure reliable procurement cost inputs for tenders.

- Coordinate with the MEP Engineer and Estimation Team for integrated costing solutions.

4. Client & Consultant Engagement

- Attend pre-bid meetings, site visits, and clarification sessions with clients and consultants.

- Respond to tender queries and support post-bid negotiations to secure project wins.

- Maintain strong relationships with clients to enhance the company’s tender positioning.

5. Documentation, Quality & Compliance

- Ensure all tender submissions are compliant with client requirements, legal standards, and ISO/IMS practices.

- Review technical and commercial documents for accuracy, quality, and presentation.

- Maintain comprehensive records and audit-ready documentation for every submission.

6. Team Management & Reporting

- Manage a team of 3–4 professionals including one MEP Engineer.

- Provide leadership, task allocation, performance reviews, and mentorship to the team. - Submit weekly and monthly reports to senior management covering status, risks, wins/losses, and performance metrics.

Key Qualifications

Education:

- Bachelor’s degree in Civil Engineering, Quantity Surveying, or Construction Management.

- MEP/Project Management certifications preferred.

Experience:

- 1 to 3 years in tendering and estimation.

- Experience in high-value civil, interior, and MEP turnkey projects is essential.

Key Skills

- Expertise in estimation, BOQ preparation, and vendor negotiation.

- Advanced proficiency in MS Excel, AutoCAD, Estimation software, and tender management systems.

- Excellent team leadership, coordination, and communication skills.

- Strong analytical skills and the ability to meet tight deadlines.
