### **Job Title:** Tender Executive / Tender Officer ### **Department:** Sales / Business Development / Procurement ### **Reports To:** Tender Manager / Business Development Manager / Director --- ### **Job Summary:** The Tender Executive is responsible for managing the end-to-end tendering process — from identifying relevant tenders, preparing and submitting bids, ensuring compliance with tender requirements, coordinating with internal teams, and maintaining tender documentation. The role requires excellent attention to detail, communication, and organizational skills to ensure timely and accurate submissions that maximize win rates. --- ### **Key Responsibilities:** * **Tender Identification & Tracking** * Monitor government portals, e-procurement sites, and private sector opportunities for relevant tenders. * Maintain a database of open and upcoming tenders. * **Tender Preparation** * Study tender documents, terms & conditions, and eligibility criteria. * Coordinate with internal departments (e.g., finance, technical, legal, operations) to gather required documentation and inputs. * Prepare technical and financial proposals as per tender specifications. * Ensure compliance with all tender requirements before submission. * **Tender Submission** * Submit tenders online/offline within deadlines. * Handle pre-bid queries, clarifications, and amendments. * Participate in pre-bid meetings and site visits (if applicable). * **Post-Tender Activities** * Follow up on submitted tenders and track results. * Support in negotiations and contract finalization processes. * Maintain tender status reports and MIS (Management Information System). * **Documentation & Compliance** * Maintain records of all tenders, proposals, and correspondences. * Ensure compliance with company policies and regulatory standards. * Assist in vendor registration, empanelment, and prequalification processes. --- ### **Key Skills & Competencies:** * Strong understanding of tendering and procurement processes. * Excellent written and verbal communication skills. * Proficient in MS Office (Word, Excel, PowerPoint) and e-tendering portals. * High attention to detail and organizational ability. * Ability to work under tight deadlines. * Analytical and problem-solving skills. --- ### **Qualifications:** * Bachelor’s degree in Business Administration, Commerce, Engineering, or related field. * 1–5 years of experience in tendering, bidding, or proposal management (depending on level).
