Job Description

. Operations & Fleet Management

  • Plan, organize, and monitor daily logistics operations vehicle deployment, routing, and scheduling.
  • Ensure optimal utilization of vehicles (own and vendor) for maximum efficiency.
  • Track vehicle movement through GPS and ensure adherence to route and delivery timelines.
  • Maintain vehicle compliance documents (RC, insurance, PUC, fitness, road tax, etc.) and renewals.
  • Supervise vehicle maintenance, repairs, cleanliness, and readiness for operations.

2. Staff & Driver Supervision

  • Assign duties to drivers and helpers, monitor attendance, and manage leaves or replacements.
  • Conduct regular briefings on safety, customer behavior, and company policies.
  • Verify driver licenses, medical certificates, and uniform compliance.
  • Address disciplinary issues, absenteeism, or misconduct through proper documentation.

3. Coordination & Communication

  • Liaise with clients, dispatch teams, and warehouse staff to ensure smooth operations.
  • Communicate vehicle status, breakdowns, delays, or incidents promptly.
  • Coordinate with service providers (garages, tyre vendors, battery suppliers, etc.).
  • Report daily operational updates to management through logs or MIS sheets.

4. Compliance & Safety

  • Ensure adherence to all transport laws, company policies, and safety standards.
  • Conduct regular checks for first-aid kits, fire extinguishers, reflectors, and emergency tools.
  • Maintain accident and incident reports and follow up on insurance claims.

5. Documentation & Reporting

  • Maintain driver logbooks, trip sheets, fuel records, and maintenance reports.
  • Monitor mileage, fuel consumption, and repair costs for cost control.
  • Prepare daily/weekly/monthly performance and expense reports.

6. Cost & Efficiency Control

  • Reduce fuel wastage and idling time through route optimization.
  • Monitor overtime, vehicle downtime, and trip cost to control expenses.
  • Recommend measures to improve fleet performance and reduce operating costs.

7. Client & Vendor Management

  • Ensure timely and professional service delivery to clients.
  • Handle client feedback, complaints, or escalations efficiently.
  • Manage vendor billing verification and maintain accurate job completion records.
