Job Description

Senior Project Coordinator

Key Responsibilities

  • Assist in developing project plans, schedules, and timelines.
  • Coordinate daily project operations as per Oil & Gas industry standards.
  • Monitor progress and ensure timely completion of project milestones.
  • Track project KPIs, deliverables, and update dashboards daily/weekly.
  • Conduct site inspections to verify execution quality and safety standards.
  • Support the Project Manager in execution and decision-making processes.

2. P&L, Budgeting & Financial Control

  • Manage site-level P&L and ensure projects remain within approved budgets.
  • Track expenses, operational costs, and manpower cost utilization.
  • Prepare cost sheets, estimations, and financial projections.
  • Identify cost-saving measures without affecting quality/safety.
  • Maintain documentation of billing, material consumption, and invoices.

3. Manpower Management

  • Coordinate deployment of workforce based on project requirements.
  • Prepare shift schedules, attendance reports, and productivity data.
  • Monitor workforce discipline, punctuality, and performance.
  • Ensure compliance with HR & statutory labor policies.
  • Coordinate training, safety briefings, and toolbox talks for workforce.

4. Site Operations & Coordination

  • Oversee day-to-day operational activities at project sites.
  • Ensure all tools, machinery, and equipment are available and operational.
  • Coordinate with internal teams (engineering, safety, QA/QC, operations).
  • Raise material requests and follow up with procurement/vendors.
  • Manage permits, documentation, and approval processes.
  • Ensure all site activities comply with company HSE standards.
  • Conduct/coordinate risk assessments, safety inductions, and toolbox meetings.
  • Enforce use of PPE and safe working procedures.

5. Vendor, Contractor & Client Coordination

  • Coordinate with subcontractors for manpower, equipment, and timelines.
  • Follow up with vendors for materials, delivery schedules, and billing.
  • Act as a point of contact between site teams and client representatives.
  • Attend client meetings, share updates, and manage client expectations.
  • Maintain accurate documentation for approvals, permits, and variations.

6. Reporting & Documentation

  • Maintain daily site reports, manpower reports, material logs, and project trackers.
  • Prepare weekly/monthly progress reports for management and clients.
  • Maintain records of site permits, checklists, DPRs, and quality documents.
  • Ensure proper documentation for audits, handover, and project closure.

7. Quality Assurance & Compliance

  • Ensure work execution aligns with project specifications & industry standards.
  • Coordinate with QA/QC teams for inspections, testing, and approvals.
  • Implement corrective measures for non-conformities and process gaps.

  • Bachelors degree (Engineering/Management preferred).
  • 3 - 8 Years of Project Coordination experience in the Oil & Gas industry, L&T,

    TATA Project, Orbittal & Suraj Buildcon (Mandatory).
  • Strong understanding of Oil & Gas operations, HSE norms, and site controls.
  • Proficiency in MS Office, Excel, project management tools, and reporting.
  • Excellent communication, leadership, and multi-tasking skills.
  • Ability to manage large teams, multiple sites, and tight deadlines.
