Job Description

To ensure the seamless management of calendars, meetings, events, and administrative responsibilities for senior functional heads. This role plays a critical part in ensuring smooth operational and strategic alignment across teams.

Job Responsibilities

Key Areas of Responsibility:

  1. Calendar Management

  • Organize and manage schedules, including meetings, video conferences, calls, travel itineraries, internal reviews, and external engagements.
  1. Email & Communication Handling

  • Screen, prioritize, and manage incoming emails.
  • Schedule meetings based on email requests and ensure timely responses.
  1. Travel & Claims Management

  • Coordinate travel arrangements and handle expense reimbursements, claims, and approvals.
  • Oversee team attendance, leaves, and related approvals.
  1. Cost Monitoring & Performance Tracking

  • Support post-budget analysis and monitor critical performance parameters like load sharing, delivery outcomes, and backups.
  1. HR & Team Coordination

  • Coordinate HR-related activities such as Performance Management System (PMS), mid-term reviews, KRA collation, and updating of JDs and org structures.
  1. Meeting & Event Support

  • Prepare and circulate meeting summaries, track actionable items, and ensure follow-ups.
  • Organize events, team briefings, and presentation support as needed.

Key Skills Required

  • Strong

  • Excellent

    written and verbal communication

  • Proficient in

    Microsoft Office tools

    and other productivity platforms
  • Skilled in drafting

    minutes of meetings

    , professional emails, and internal communications
  • High level of confidentiality, attention to detail, and time management

Educational Qualifications

  • Graduation (Bachelor's degree in any discipline preferred)
  • Computer literacy is essential

Experience Required

  • 510 years of experience

    in a similar role supporting senior leadership
  • Prior experience in

    secretarial functions

    or executive coordination is preferred

  • Internal Function Heads
  • Cross-functional teams
  • HR, Finance, and Admin departments
  • External vendors and partners (as needed for events and meetings)
