¦ Roles & Responsibilities
1. Handle Enquiries: Manage incoming enquiries via Bit Voice and WhatsApp, providing information and assistance to potential guests interested in exploring the project.
2. Maintain Contact Database: Add potential contact numbers to Chatspaz for efficient updates and communication about upcoming events and celebrations at Bless thereby maintaining the relation with the potential guests and consequently leading them to conversions.
3. Guest Comfort: Ensure the comfort of all guests visiting Bless Property, making them feel at home and addressing any concerns or issues promptly.
4. Conversion Rate Optimization: Work diligently to maximize the number of conversions from enquiries received through emails, calls, and visits into right-to-live bookings.
5. Short Stays Revenue: Encourage short stays among enquiry guests and residents’ guests, contributing to the monthly revenue through guest rooms and rental apartments.
6. Orientation and Service Delivery: Provide proper orientation to guests and deliver prompt service to meet their needs during their stay.
7. Emotional Support: Offer mental and emotional support to short-stay guests who plans for permanent occupancy and residents through regular visits.
8. Inter-departmental Communication and coordination: Conduct daily internal team briefings coordinate with other departments to ensure streamlined operations, effective communication and guest satisfaction.
9. Documentation: Complete confidential files of booked members within 2 weeks, ensuring all necessary documentation is in order. Fill out short stay forms for guests staying in guest rooms within 24 hours and submit them to the Manager. Update and complete all the documents related to each process on time and without error.
10. Ensure documented Communications: Ensure that whatever is communicated to the guest is documented and the necessary information is shared with concerned guests, residents or employee through email.
11. Building Relationships: Maintain excellent relationships with guests, booked members, and extended family members which enhance trust and family like feeling.
12. Monthly Reporting: Prepare and submit monthly reports to different department heads and directors by the end of each month.
13. Software Utilization: Utilize software tools such as Info Master, Chatspaz, and Bit Voice to efficiently manage guest requests, communication, and celebrations.
14. Event Management: The Guest Relations team is responsible for seamless guest management during events, ensuring every attendee receives exceptional service and a memorable experience.
15. Promotional activities: The Guest Relations team is tasked with continuously brainstorming and presenting innovative ideas for promotion, aiming to elevate the brand visibility, attract new guests, and foster a strong sense of loyalty among guests and residents. The duty of the Guest Relations team includes identifying and leveraging areas of promotion, strategically promoting the Bless’ project, amenities, services, and events to enhance guest satisfaction and attract potential customers.
