Job Title: Receptionist / Assistant Administrative Officer

Location: Dr. Aravind’s IVF Fertility & Pregnancy Centre
Department: Front Office / Administration
Reports To: Clinic Manager / Administrative Head

Job Summary

The Receptionist / Assistant Administrative Officer will be the first point of contact for patients visiting Dr. Aravind’s IVF Fertility & Pregnancy Centre. This role requires excellent communication skills, empathy, and strong administrative abilities to ensure smooth front-office operations and a positive patient experience.

Key ResponsibilitiesFront Office & Patient Coordination

  • Greet patients and visitors courteously and professionally.
  • Handle patient registrations, appointment scheduling, and follow-ups.
  • Manage incoming calls, emails, and WhatsApp enquiries promptly.
  • Guide patients regarding consultation procedures, documentation, and billing flow.
  • Maintain patient confidentiality and ensure compliance with clinic policies.

Administrative Support

  • Maintain accurate patient records, files, and digital data entries.
  • Coordinate with doctors, nurses, embryologists, and billing staff.
  • Assist in preparing daily appointment schedules and reports.
  • Handle basic billing queries and coordinate with the accounts team.
  • Manage office supplies, stationery, and front-desk inventory.

Communication & Coordination

  • Explain clinic services, treatment flow, and general instructions to patients.
  • Follow up with patients regarding appointments, test reports, and procedures.
  • Assist in handling patient feedback and escalations professionally.

Required Qualifications & Skills

  • Bachelor’s degree or diploma in Administration, Office Management, or related field (preferred).
  • Minimum 1–3 years of experience as a receptionist or administrative assistant, preferably in a hospital or fertility clinic.
  • Excellent verbal and written communication skills in English and Tamil.
  • Proficiency in MS Office and hospital management software (preferred).
  • Strong interpersonal skills with a compassionate and patient-friendly approach.
  • Ability to multitask and work efficiently in a fast-paced healthcare environment.
