Purchase Executive

Job Purpose:

To ensure timely and cost-effective procurement of Raw Materials (RM), Packaging Materials (PM), NPD materials, and technical items (engineering spares, consumables, MROs) required for smooth plant operations. The role demands strong coordination with cross-functional teams, vendor management, and technical understanding.

Key Responsibilities:

1. Procurement of RM & PM

• Plan and procure all Raw Materials (vegetables, ingredients, additives, etc.) and Packaging Materials (films, cartons, corrugated boxes, labels, etc.) as per production requirements.

• Coordinate with Planning, Production, and Quality teams to ensure uninterrupted supply and adherence to specifications.

• Negotiate prices and finalize purchase orders ensuring cost optimization without compromising on quality and service.

• Monitor inventory levels and maintain minimum/maximum stock norms.

• Resolve quality, delivery, and billing issues with suppliers in coordination with QA and Finance.

2. New Product Development (NPD) Procurement

• Collaborate with R&D and Packaging Development teams to source materials required for new product trials and development.

• Identify and onboard suppliers for new or innovative packaging and ingredients.

• Ensure timely availability of trial materials and documentation support for pilot runs and scale-up.

3. Technical & Engineering Procurement

• Handle procurement of engineering spares, consumables, lubricants, and maintenance materials.

• Work with Maintenance and Projects teams to source items as per technical specifications.

• Develop alternate suppliers for critical spares to ensure plant uptime.

4. Vendor Development & Management

• Identify, evaluate, and develop reliable vendors for RM, PM, and technical items.

• Conduct supplier audits in coordination with QA and Engineering.

• Monitor supplier performance on quality, cost, and delivery parameters.

5. Cost Control & Compliance

• Ensure adherence to company procurement policies, documentation, and audit requirements.

• Maintain ERP records, GRNs, and purchase MIS for all categories.

6. Cross-functional Coordination

• Liaise with Production, Quality, Planning, and Finance for purchase-related requirements.

• Support NPD and Operations teams in material planning, sample approvals, and vendor follow-ups.

• Prepare regular reports on purchase status, pending POs, and cost variance.

Qualifications & Experience:

• Education: Bachelor’s degree in engineering

• Experience: 3–4 years of experience in procurement within a frozen food / food processing / FMCG manufacturing setup.

• Preferred Exposure:

o RM/PM procurement for food industry

o NPD or trial material sourcing

o Technical/engineering items procurement

Key Skills:

• Strong commercial and technical understanding.

• Good knowledge of packaging materials, food-grade RMs, and spares.

• Proficiency in ERP systems (SAP / Oracle / Tally ERP).

• Analytical mindset with good communication and coordination abilities.
