Purchase Executive

Job Description

Role Purchase executive shall be responsible for overseeing the procurement of materials and services needed for the organization on daily basis. Apart from this, Purchase Executive has to provide support to internal stakeholders in the following way: • Understanding the requirement of an enquiry and release the RFQ to suppliers. • Forwarding RFQs to vendors based on technical specifications received from Engineering dept. • Follow-up with vendors for technical offers and get them technically cleared from Engineering dept. • Getting commercial offer from the vendors based on the technical clearance received. • Preparing comparison sheet and getting target prices from the Project planning department. • Negotiating the techno commercial offer with the vendors and releasing Purchase orders. • Follow-up with vendors for Order acceptance and submission of GAD and QAP. • Follow-up with Engineering Dept. and QC dept for approvals on GAD and QAP. • Arranging Meetings between Engineering dept and vendors to resolve the technical issues if any. • Follow-up with vendors for Manufacturing schedule and monitoring the manufacturing progress fortnightly. • Getting the Internal inspection reports from the vendor and submitting to QC Department. • Co-ordinating with Project Planning department and arranging for customer inspections. • Follow-up with Project Planning department for getting dispatch clearance from customer / QC Dept. • Processing the payments as per the Purchase order terms and organizing for dispatch of the material. • Follow-up with vendors for timely dispatch of the material and for getting dispatch documents. • Submitting bills to finance on time. • Preparing the monthly MIS report and submitting to management. • Preparing the monthly budget requirement and monthly dispatch Schedule and submitting to finance. • Updating the Material status on weekly basis and submitting to Project planning department & responsibilities Preferred candidate profile Perks and benefits
