Job Description

Role Overview

The Project Coordinator will be responsible for ensuring smooth coordination between internal teams (Engineering, Procurement, Finance, Implementation, and Accounts) and external stakeholders (vendors, site teams, and clients) for the assigned projects.
The role demands strong organizational and communication skills to ensure timely progress, accurate documentation, and seamless project execution from material procurement to billing and receivables realization.

Key Responsibilities

1. Project Coordination

  • Serve as the primary point of contact for all assigned project-related communications.
  • Coordinate between design, purchase, implementation, and accounts teams for project progress.
  • Track project milestones, ensuring timely execution of site activities and deliverables.
  • Maintain project schedules and update progress reports to the management team.

2. Site Coordination

  • Assign and monitor installation and commissioning teams at project sites.
  • Coordinate with clients and site engineers for work permits, mobilization, and completion reports.
  • Follow up on daily site progress, challenges, and resource needs.

3. Vendor and Material Management

  • Coordinate with vendors for timely delivery of materials and equipment.
  • Track procurement requests, dispatch schedules, and material receipts at sites.
  • Verify delivery notes, material issue records, and site inventories.

4. Documentation & Reporting

  • Maintain all project-related documentation including work orders, drawings, approvals, and site reports.
  • Ensure project folders (digital and physical) are updated with all relevant files and communication records.
  • Support the preparation of project handover documentation.

5. Billing & Receivables Coordination

  • Liaise with site teams and clients for work completion certifications.
  • Coordinate with the Accounts team for timely submission of invoices.
  • Track receivables against milestones and follow up for payments with clients.

6. Cross-functional Collaboration

  • Work closely with Engineering for technical submittals and revisions.
  • Support Purchase in vendor evaluation and material release coordination.
  • Ensure Finance and Accounts are informed about project cost movements and cash flow updates.

Qualifications & Skills

  • Bachelors degree in Civil / Mechanical / Environmental Engineering or equivalent.
  • 2–5 years of experience in project coordination / project execution (preferably in water, wastewater, or infrastructure sectors).
  • Strong understanding of site execution workflows and documentation requirements.
  • Excellent communication, negotiation, and organizational skills.
  • Proficiency in MS Office, Google Sheets, and project tracking tools (Odoo, Asana, or similar).
  • Ability to multitask, prioritize, and work under deadlines.
