Job Description

Role Overview: As a Project Assistant for our project team in Pune, you will play a crucial role in coordinating and communicating day-to-day activities. Your primary focus will be on managing schedules, follow-ups, documentation, and ensuring smooth coordination among internal teams, external partners, and vendors. You will serve as the central point of communication to facilitate seamless task progression and prevent any oversights. Key Responsibilities: - Act as the primary liaison between internal teams, external stakeholders, and vendors, ensuring effective project coordination and communication. - Communicate project updates, reminders, and follow-ups through email and calls to all involved parties. - Maintain task trackers, action item lists, and project schedules to track progress and follow up with team members and vendors for timely task completion. - Schedule meetings, calls, and reviews, prepare meeting agendas, take Minutes of Meeting (MoMs), and ensure all action items are tracked and closed. - Maintain project documentation including MoMs, trackers, reports, and shared folders, and update basic dashboards or status reports using Excel / Google Sheets. - Coordinate with vendors and external partners on timelines, deliverables, and follow-ups, tracking commitments and ensuring agreed timelines are met. - Provide general project support by assisting with daily operational and administrative tasks, handling ad-hoc coordination, and logistical activities as needed. Qualifications Required: Must-Have: - Strong written and verbal communication skills - Excellent organizational and follow-up discipline - Ability to manage multiple stakeholders and priorities - Proficiency in MS Office / Excel / Google Sheets - Ability to work independently and take ownership of tasks Good to Have: - Experience in project coordination, project support, operations, or administrative roles - Exposure to vendor or client coordination - Familiarity with basic project tracking tools (Excel trackers, calendars, task lists) Company Details: Omit this section as there are no additional details of the company mentioned in the job description.
