Overall:

  • Provide academic inputs to enhance the teaching-learning process at Aga Khan Preschools (AKPs).
  • Manage admin, finance, and management systems in AKPs according to Aga Khan Education Service, India (AKESI) Policy and Procedure (P&P).
  • Contribute to AKESI assignments as assigned by the regional head - Gujarat.

Specific:

Visioning / Planning:

  • Facilitate an environment in all AKPs and the Regional office that supports the educational philosophy.
  • Support the internalization of AKESI ECCE philosophy in AKPs.
  • Contribute to building the image of the organization as a quality resource agency in ECD.

A: Academics:

  • Responsible for curriculum planning/implementation/review at unit level/AKPs along with necessary resources.
  • Facilitate regular student assessments and guide teachers based on assessment data.
  • Streamline academic documentation processes at the AKP level.
  • Provide academic support to teachers (Onsite and offsite) for classroom management, including guiding them on TLM creation.
  • Implement and supervise co-curricular activities at all the AKPs.
  • To evaluate and assess AKPs at the field level.

B: Guidance and Monitoring:

  • To provide guidance and support to enhance teachers' skills for children's holistic development.
  • Offer academic support to upgrade/improve the quality of AKP as a whole and guide in maintaining administrative and finance records.
  • To guide LMC/teachers in maintaining bank accounts, administrative and finance registers, and books (such as dead stock, attendance registers for staff and students, program reports register, checklists, student general register, voucher book, donation receipt book, and fee receipt book, etc.).
  • Assist LMC in fulfilling their role in AKPs.

C: Staffing and professional development:

  • Assist in planning, organizing, and facilitating training sessions, workshops, and seminars for AKP personnel.
  • Ensure effective implementation of training provided to the teachers/teachers' assistants.
  • Provide support in organizing LMC conferences.
  • Source/identify competent staff (Teaching and non-teaching) for AKPs.
  • 5. Regular observation and evaluation of the performance of staff.

D: Communication:

  • Facilitate marketing and image-building activities at the unit level to achieve AKP enrollment targets.
  • Coordinate with the ROR communication portfolio person to prepare and publish articles/notes for social media/local newspapers.

E: Administration:

  • To submit monthly tentative visit plans and actual reports of the visits and other tasks aligned with the department's plan and goals.
  • Regular visits to AKPs.
  • Facilitate the process of appointing LMC and correspond with relevant stakeholders.
  • To correspond with LMC, teachers, and the Central Office, etc., as required.
  • Participate in meetings to achieve department goals.
  • Manage the allotted portfolio, prepare reports, and conduct follow-ups as needed.
  • Assist AKP personnel in organizing various center-based programs.
  • Provide need-based support in conducting survey/study etc.
  • To set the targets/KRAs of teachers and teachers' assistants and, from time to time review their performance.
  • To review/evaluate AKPs based on the milestone measurement tool and prepare an AKP improvement plan along with the LMC and teachers.
  • To provide data/information from time to time to make informed decisions for the AKPs, like budget preparation, etc.

F: Finance, Budgeting and Resource Management:

  • To help AMO- Preschools by providing data/needs etc to prepare the budget.
  • Review the financial checklist received from the field.
  • Maintain/secure all the finance and admin-related documents at the AKP level.
  • Build rapport with the local DEO/DPEOs office for AKP-related work.

G: Networking/Liaisoning and Outreach:

  • Build relations with neighbourhood schools and update market intelligence for better positioning of AKPs.

H: Study/Report writing:

  • Timely submission of visit reports (Finance and narratives).
  • Task-specific data/reports (MMT/RfC etc).
  • Collect Unit specific data (Eligible students in the vicinity etc)

I: Construction/Maintenance and Safety:

  • Ensure that the infrastructure and play equipment of AKPs are safe and conducive to learning.
  • Coordinate with the Facilities team for infrastructure maintenance.
  • Ensure timely renewal of rent agreements, personal accident insurance of staff and students and Mediclaim policy of eligible staff.
  • Ensure Workplace Safety (WPS) processes are followed at AKPs.
  • Ensure the implementation of the safeguarding policy of AKESI in allotted AKPs.

J: Stakeholder Engagement:

  • Collaborate with parents, caregivers, LMC and community members to foster strong partnerships and engagement in the AKPs.
  • Represent the organization at community meetings, conferences, and other relevant forums to advocate for early childhood development and share best practices.
  • Provide support in the LMC appointment, Induction, and Training.
  • Guide the AKP team (Teachers and LMC) for timely implementation of parent involvement activities such as POP, Parent meetings, involvement in celebrations, RFC etc.

K: General Operation:

  • Identify the need for TLMs and other stationery at the unit level and timely share with ROR.
