Job Description

As the Administrative Manager at Mannitab Plant, your primary responsibility will be to oversee the administrative functions of the plant, ensuring seamless daily operations and providing comprehensive support to the plant management team. You will play a crucial role in handling documentation, coordinating communication between departments, managing hotel and transportation arrangements, and overseeing housekeeping, security, and gardening activities to maintain an organized, efficient, and welcoming plant environment. **Core Responsibilities:** - Provide administrative support to the Plant Manager and senior staff. - Prepare and maintain plant records, reports, and documentation. - Manage correspondence, including emails, letters, and memos. - Schedule meetings, prepare agendas, and take minutes as required. **Office Management:** - Oversee the operation of office equipment and ensure all supplies are stocked. - Coordinate maintenance and repair of office facilities. - Implement and maintain office procedures to ensure efficiency. **Human Resources Support:** - Assist with the recruitment process and manage candidate communications. - Maintain employee records, including attendance, leave, and performance data. - Coordinate training and development programs for staff. **Compliance And Safety:** - Ensure compliance with company policies and industry regulations. - Support audits and inspections as needed. - Submit safety observations on the myCority portal regularly. **Communication And Coordination:** - Serve as the point of contact between plant staff and external stakeholders. - Facilitate communication between different departments. - Address and resolve administrative issues promptly. **Hotel And Travel Arrangements:** - Coordinate and book hotel accommodations and transportation for staff and visitors. - Manage travel routes, including flight bookings and schedules. **Housekeeping Coordination:** - Oversee and coordinate housekeeping services for cleanliness and maintenance. - Schedule regular cleaning and maintenance tasks for office areas. - Procure housekeeping materials and ensure pest control activities are in place. **Security Management:** - Coordinate with security personnel to ensure plant security measures are in place. - Monitor main gate entry/exit access and develop security policies. - Respond to security incidents and emergencies as necessary. **Event Planning:** - Assist in organizing plant events, meetings, and employee functions. - Handle logistics for special events and coordinate catering and venue arrangements. **Gardening Maintenance:** - Oversee and coordinate gardening activities around the plant premises. - Schedule routine maintenance tasks, including planting, weeding, and watering. **Telephone, Mobile And Leased Line Management:** - Maintain records of telephone, mobile, and leased line services. - Coordinate with telecom providers to ensure reliable services. **Mandatory Requirements:** - Education: Associates degree in business administration or a related field; Bachelors degree preferred. - English fluency, both written and spoken. - Local candidate. **Desirable Requirements:** - Experience: 2-3 years of administrative experience in a manufacturing or industrial setting. - Working knowledge of local legislation is desirable. **Skills:** - Strong organizational and multitasking abilities. - Proficiency in Microsoft Office Suite. - Excellent written and verbal communication skills. - Familiarity with office equipment and procedures. **Working Conditions:** - Office environment within the plant premises. - Standard working hours with occasional overtime. - May require occasional travel between different plant sites.
