Position Overview: As a Visa Counselor, you will play a crucial role in facilitating visa applications for clients at our travel company. Your primary responsibility will be to guide and assist individuals in obtaining the necessary visas for their international travel. You will work closely with clients, providing them with accurate information, ensuring their applications are complete, and navigating the visa application process efficiently. Key Responsibilities: Client Consultation: Conduct consultations with clients to understand their travel plans, destinations, and visa requirements. Provide comprehensive guidance on the necessary documents, processes, and timelines for visa applications. Documentation Assistance: Assist clients in preparing and organizing all required supporting documents for visa applications, including passports, application forms, photographs, financial statements, and other relevant paperwork. Ensure that all documents meet the specified visa requirements. Application Processing: Review and verify visa application forms for completeness and accuracy. Coordinate with clients to gather any additional information or documentation required. Submit visa applications to the appropriate embassies or consulates within the designated timelines. Information Provision: Stay up to date with the latest visa regulations, policies, and procedures for various countries. Provide clients with accurate and current information on visa requirements, processing times, fees, and any additional travel restrictions or guidelines. Liaison with Authorities: Establish and maintain effective relationships with embassy/consulate officials, visa processing centers, and relevant immigration authorities. Coordinate with them regarding visa applications, follow-ups, and any issues that may arise during the process. Client Communication: Maintain regular communication with clients to update them on the status of their visa applications, including any delays, approvals, or rejections. Respond promptly to client inquiries, addressing any concerns or queries they may have throughout the application process. Record Keeping: Maintain detailed and organized records of all client interactions, visa applications, and related documents. Ensure compliance with data protection and confidentiality policies when handling sensitive client information. Process Improvement: Continuously assess and improve the visa application process within the company. Identify opportunities to streamline procedures, enhance efficiency, and improve customer satisfaction. Qualifications and Skills: Bachelor's degree in a relevant field is preferred. Previous experience working as a Visa Counselor or in a similar role within the travel industry is highly advantageous. In-depth knowledge of visa regulations, procedures, and documentation requirements for different countries. Strong understanding of travel-related terminology, visa categories, and associated terminology. Excellent communication skills, both written and verbal, with the ability to explain complex visa procedures to clients clearly. Exceptional attention to detail and accuracy when reviewing and processing visa applications. Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively. Customer-oriented approach with a commitment to delivering excellent service and support to clients. He will plan how we manage enquiries, bookings, vendor coordination, and post-sale processes through smart automation and structured data insights. Ideal for someone with a passion for travel, technology, and operational excellence. Key Responsibilities: Process Management – Tailored for Travel Map, document, and standardize travel sales and operations workflows (enquiry to closure, vendor management, client servicing). Create SOPs for itinerary building, quotation process, booking confirmations, invoicing, documentation, and post-travel feedback. Identify process gaps or redundancies in day-to-day operations across FIT, GIT, MICE, and luxury travel verticals. Implement lean and scalable travel processes that improve turnaround time and client satisfaction. MIS & Reporting Design and manage real-time dashboards for: Enquiry pipeline and conversion funnel Booking volumes and margins Vendor performance and settlement tracking Statutory compliance tracking Automate monthly revenue, collection, and profitability reports across destinations and consultants. Track agent, DMC, and vendor performance via structured reports. Automation & Tools Implementation Automate repetitive workflows: quotation generation, itinerary templates, vendor communication, voucher issuance, feedback collection.
