We are looking for a highly organized and proactive People & Operations Associate to support the CEO and leadership team. This role combines administrative operations, HR coordination, and basic finance support. You will help keep the company running smoothly by managing day-to-day operational tasks across accounting, HR, payroll, hiring coordination, and documentation.

This is a high-trust role with visibility across multiple core functions, and is ideal for someone who wants to grow their career in HR, business operations, or executive support in a fast-growing startup environment.

Role & responsibilities

Finance & Accounting Support

  • Categorize monthly bank and card transactions in accounting software/spreadsheets.
  • Prepare monthly management accounting summary and expense reports.
  • Track vendor invoices, payment schedules, and reimbursements.
  • Coordinate with external accountants or finance vendors.

HR Operations

  • Prepare HR documents (offer letters, appointment letters, NDAs, experience letters, termination letters).
  • Maintain employee records and ensure accurate HR data.
  • Coordinate onboarding and offboarding processes.
  • Maintain leave records, attendance logs, and timesheets (if applicable).

Recruitment Coordination

  • Work with recruiters to initiate, track, and close hiring processes.
  • Schedule interviews and serve as point of contact for candidates.
  • Publish job descriptions on relevant hiring platforms and maintain candidate pipelines.

Payroll & Compliance

  • Coordinate monthly payroll inputs with payroll processing partners.
  • Track statutory compliance documentation and ensure required filings/records are in place.
  • Maintain confidentiality of salaries and HR data.

Administrative Support

  • Assist the CEO and leadership team with internal operational tasks.
  • Maintain internal documentation and shared Drive/Notion folders.
  • Support office administration and vendor coordination (if applicable).

Preferred candidate profile

  • 14 years of work experience in HR operations, accounting support, executive assistant, or office administration roles.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks.
  • Good written and verbal communication skills.
  • Strong Excel/Google Sheets, Word, and PowerPoint skills.
  • Comfort with basic accounting concepts and documentation.
  • Comfortable using AI tools to accelerate and automate work.
  • High degree of professionalism and confidentiality.
  • Proactive, structured, and reliable working style.

Nice to Have

  • Experience in a startup environment.
  • Familiarity with Google Workspace, Notion, Slack, QuickBooks/Xero/Zoho, or HR/payroll platforms.
