Job Description

As an IP Docketing Specialist, you will be responsible for providing electronic-based, timely, detailed, and accurate docketing support to the clients' IP paralegal & docketing unit. Your role will involve accurately maintaining the docket records according to established policies and procedures (SOP), reviewing documents, and exercising discretion and confidentiality as per the service level agreement. Key Responsibilities: - Read, comprehend, and docket incoming emails & correspondences from the Patent and Trademark Office (US and Non-US) for worldwide customers using electronic procedures. - Open new matters, identify matter types for rule sets, and enter key bibliographic information accurately. - Identify corner cases efficiently and docket after calibration with the Docketing manager or as per SOPs. - Identify critical dates and key information in less commonly docketed documents to safeguard clients and law firms from docketing risks. - Confirm accuracy of abandonment instructions with the clients IP operations lead and handle formal abandonment procedures in the docketing system. - Run basic queries, generate and format Excel reports for consistency calibration and audits for docketed matters. - Validate prosecution data for accuracy and completeness by comparing data in the docketing system with public data sources. - Understand and explain docketing policies, procedures, and rules to team members during monthly/quarterly docketing process reviews. - Perform any other tasks or duties as assigned by the Account & Delivery manager. - Maintain strict confidentiality of all processed documentation. Qualifications for the position: - Education: Bachelor's or master's degree in any subject. - Experience: Minimum of 3 years and maximum of 7 years of experience in either Patent or Trademarks docketing. Knowledge, Skills, and Abilities: - Ability to follow written and oral instructions in English with excellent spelling, grammar, and punctuation. - Organizational skills to prioritize work in a dynamic environment while maintaining a high level of accuracy. - Apply IP subject matter knowledge, analyze and interpret data from a prosecution standpoint. - Intermediate knowledge of MS suite, especially Outlook and Excel formatting. - Technical proficiency in one or more popular web-based docketing systems. - Attention to detail, patience, and perseverance to learn subject matter and skills effectively.
