Operations Assistant

Role & responsibilities

Job Overview:

The Operations Assistant will support the Sales & Operations team by managing daily operational tasks, vendor coordination, documentation, and backend processes to ensure smooth and timely execution of tours

Key Responsibilities:

Tour Operations: -

Track and share safari status with concerned teams.

Book safari permits, entry tickets, and value-added services as per the case.

Check real-time train/flight/visa/insurance status and update concerned teams.

Book these services in-house or via approved vendors as required.

Assist in coordination with ground teams for on-ground tour preparedness whenever requested.

Product Development Support:

- Collect updated rates from hotels, transporters, safari vendors, and partners.

- Update and maintain the master rate sheet regularly.

Documentation & Creatives:

- Create ready-to-send PDFs, itineraries, and documents using Canva or itinerary software.

- Ensure accuracy, branding, and consistency across all documents.

Post-Tour Closure:

- Close completed tour files and compile necessary documents.

- Submit invoices, permits, and supporting records to the Accounts team.

- Maintain proper filing and data records.

Skills & Requirements:

- Strong coordination, follow-up, and documentation skills.

- Basic understanding of travel or wildlife tourism operations (preferred). - Proficiency in Google Sheets/Excel, Canva, and CRMs.

- Detail-oriented, organized, and able to work with tight timeline

Preferred candidate profile

Qualifications: -

- 02 years of experience in travel operations preferred (freshers may apply).
