Key Roles and Responsibilities 

1. Diamond Office Administrator 

• Manage all administrative and compliance tasks related to diamond transactions. 
• Ensure all documentation for shipping, import/export, and compliance meets Antwerp Diamond Office requirements. 
• Assist in preparing invoices, declarations, and export documentation. 
• Coordinate with the accounting team to ensure accurate financial documentation, shipment costing, and record reconciliation. 
• Maintain internal systems and reporting in Excel and company databases. 

2. Logistics and Compliance Manager 

• Manage the end-to-end logistics of diamond shipments — from supplier pickup to customer delivery. 
• Coordinate with carriers, customs brokers, and internal teams to ensure timely and secure movement. 
• Develop and implement compliance policies aligned with Belgian and international trade regulations. 
• Manage the company’s relationship with the Diamond Office, Customs, and local authorities. 

3. Shipping and Receiving Coordinator 

• Handle physical movement of diamonds to and from the office. 
• Coordinate with security personnel and logistics partners for safe transport. 
• Conduct basic diamond checks (inscription, weight, and quality verification). 
• Maintain accurate inventory logs in the internal system and Excel reports. 

4. Diamond Grading & Quality Control 

• Conduct basic diamond checks, including inscription verification, weight confirmation, and grading characteristics. 
• Support inventory tracking, packaging, and shipment preparation. 
• Ensure accurate labelling, sealing, and documentation of diamonds before dispatch or receipt. 

Requirements 

• 1–3 years of experience in diamond / luxury goods shipping, logistics, or compliance. 
• Basic knowledge of diamond grading, handling, and packing. 
• Proficient in Microsoft Excel and general computer operations. 
• Strong organizational and communication skills in English. 
• Detail-oriented, responsible, and able to work independently. 
• Immediate availability preferred.
