Office Clerk – Requirement Profile

Position Overview

The Office Clerk will be responsible for handling all clerical, administrative, and documentation tasks as per the requirements of the Maharashtra Education Department. The role demands proficiency in SARAL, UDISE+, and other departmental portals, along with accuracy in maintaining records, preparing reports, and ensuring compliance with all government regulations.

Key Responsibilities

  • Administrative & Clerical Work
  • Maintain and update student admission, enrollment, and attendance records.
  • Prepare and manage office files, registers, and official correspondence.
  • Draft letters, circulars, and notices as per school and departmental requirements.
  • Ensure proper filing and documentation of all school-related records.
  • SARAL (Systematic Administrative Reforms for Achieving Learning)
  • Data entry and regular updating of student, teacher, and school records in SARAL.
  • Generate required reports (enrollment, transfers, exam details, results, etc.).
  • Ensure 100% accuracy and timely submission of data to the Education Department.
  • UDISE+ (Unified District Information System for Education Plus)
  • Manage online entries for annual school census on the UDISE+ portal.
  • Update information related to infrastructure, staff, students, and school facilities.
  • Cross-check and validate data with school records before final submission.
  • Support school management in compliance with DISE/UDISE+ deadlines.
  • Maharashtra Education Department Compliance
  • Maintain records required by the Department (Scholarships, RTE admissions, fee concessions, etc.).
  • Assist in preparation and submission of proposals, grants, and government schemes.
  • Handle official inspections, audits, and provide necessary documents on demand.
  • Update and maintain service records, leave registers, and payroll support of staff as per state norms.
  • Communication & Coordination
  • Act as a liaison between the school and the Education Department.
  • Coordinate with teachers, parents, and government officials for smooth execution of schemes.
  • Ensure timely dissemination of government orders, GRs (Government Resolutions), and circulars.

Required Skills & Competencies

  • Technical Knowledge:
  • Full knowledge of SARAL and UDISE+ portals.
  • Proficiency in MS Office (Word, Excel, PowerPoint), email drafting, and internet usage.
  • Familiarity with Maharashtra Education Department rules, formats, and compliance requirements.
  • Clerical Skills:
  • Strong record-keeping, filing, and documentation skills.
  • Typing proficiency in Marathi and English.
  • Accuracy and attention to detail in data entry and report preparation.
  • Administrative Abilities:
  • Ability to manage multiple deadlines and government submissions.
  • Effective communication with officials, staff, and parents.
  • Knowledge of handling confidential school records.

Qualifications & Experience

  • Minimum Graduate (B.A./B.Com/B.Sc.) with clerical/administrative skills.
  • Diploma/Certificate in Computer Applications (preferred).
  • 2–3 years’ experience in school/educational administration (advantageous).
  • Knowledge of Marathi typing (mandatory) and English typing (preferred).
