Job Title: Administrative Assistant /Receptionist

Company: Studio Algae (Architecture Firm).

Location: Pettah, Ernakulam Job Type: Full-time

Job Summary: We seek a highly organized, efficient, and friendly Admin Assistant to support our dynamic team. As the first point of contact for clients and visitors, you will provide exceptional administrative support, ensuring seamless day-to-day operations.

Key Responsibilities:

Administrative:

1. Manage front desk operations, welcoming clients and consultants and handling inquiries.

2. Answer and direct phone calls, respond to emails, and messages.

3. Coordinate meetings, appointments, and schedules.

4. Maintain accurate records, files, and databases.

5. Submit drawings to authorities,consultants etc (municipal, government, etc.).

Operations:

1. Manage printouts, plotting,filing,and document binding.

2. Coordinate with vendors, suppliers, and service providers.

3. Maintain office supplies, stationery, and equipment.

4. Maintain office decorum.

Finance Coordination:

Collaborate with our CA team for: - Invoicing, billing, and payment follow-ups. - Expense tracking and accounting. - Financial document management.

Hospitality:

1. Co ordinate client/consultant receptions, including refreshment services and amenities.

2. Maintain office amenities including refreshments and services.

Language Skills:

1. Fluent in English and Malayalam (spoken and written).

2. Ability to communicate effectively with clients, team members, and external stakeholders.

Other:

1. Provide general administrative support to the team.

2. Perform tasks assigned by supervisors or managers.

3. Maintain confidentiality and professionalism.

Requirements:

1. B.com or equivalent.

2. 1-2 years of administrative experience (architecture firm /interior design company/construction company experience a plus).

3. Excellent communication, organizational, and time-management skills.

4. Proficient in MS Office, Email and phone etiquette.

5. Friendly, approachable yet professional.

6. Experience with accounting software (Tally, QuickBooks, etc.).
