Job Summary:

The Office Administrator is a key role responsible for ensuring the smooth and efficient operation of the office. This individual will manage a variety of administrative tasks, act as the central point of contact for internal and external stakeholders, and provide crucial support to the team. The ideal candidate is highly organized, proactive, and possesses excellent communication and problem-solving skills.

Key Responsibilities:

  • Office & Staff Administration:
  • Oversee daily office operations, including managing supplies, equipment, and general maintenance.
  • Maintain a clean and organized office environment.
  • Manage staff records, including personal information, leave requests, and attendance.
  • Facilitate new employee onboarding and offboarding procedures.
  • Coordinate staff meetings, workshops, and company events.
  • Attendance & Payroll Support:
  • Monitor and track employee attendance, including vacation, sick leave, and other absences.
  • Prepare and submit accurate attendance reports to the HR or payroll department.
  • Assist with the preparation of payroll data as required.
  • Financial & Account Reconciliation:
  • Manage and reconcile petty cash funds.
  • Process and track invoices, expense reports, and payments.
  • Assist with basic bookkeeping tasks and prepare financial reports as requested.
  • Coordinate with the accounting department to ensure accurate record-keeping.
  • Communication & Coordination:
  • Act as the primary point of contact for all incoming and outgoing communications, including phone calls, emails, and correspondence.
  • Greet and assist visitors in a professional and friendly manner.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff.
  • Manage the company's internal communication channels and distribution of important announcements.
  • Liaise with vendors, suppliers, and service providers to ensure the timely delivery of goods and services.
  • General Support:
  • Perform data entry, filing, scanning, and other clerical duties.
  • Provide administrative support to senior management and other departments as needed.
  • Handle confidential information with discretion and professionalism.

Qualifications:

  • Proven experience in an administrative or office management role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Exceptional organizational and time-management abilities.
  • Attention to detail and accuracy in all tasks.
  • Ability to work independently and as part of a team.
  • Problem-solving skills and a proactive approach to challenges.
  • A high school diploma is required; an associate's or bachelor's degree is a plus.

Job Type: Full-time

Pay: ₹10,000.00 - ₹15,000.00 per month
