Responsibilities: * Manage the front desk and welcome visitors in a professional and friendly manner. * Handle visitors and clients, directing them to the appropriate department or person. * Perform general clerical duties, such as photocopying and scanning. * Manage incoming and outgoing mail, packages, and deliveries. * Maintain a tidy and organized reception area. * Assist with ad hoc administrative tasks as and when required. * Ensure a positive first impression for all visitors and callers. * Follow up on monthly bills and invoice receipts for payment processing. * Process received invoices for purchases. * Attach and review the required supporting documents. * Check stock of all items regularly and update the register. * Raise indents for purchasing required items on a monthly or as-needed basis. * Track requirements for stationery, housekeeping materials, and other consumables. * Manage petty cash, foreign currency, employee claims and invoices for Opex and projects. Requirements: * Excellent communication and interpersonal skills. * Professional demeanor and presentable appearance. * Ability to multitask and manage time effectively. * Proficiency in Microsoft Office Suite. * Previous experience in a similar role is a plus.
· Day-to-day business operations & Running errands, · Managing front office duties and responsibilities. · Answering phone calls, and taking messages. · Managing Courier, Travel, and stay arrangements. · Preparing and editing related letters, documents reports, memos, and emails on time, · Arranging meetings, calendars & appointments. · Recording meeting minutes, Liaising with teams and units, petty cash, · Alignment towards other enabling/operations teams/cross-functional teams and support staff. · Cleaning and managing of stores and related documents - stock Maintenance(pantry/housekeeping/stationery items etc) and managing supporting staff (housekeeping, security, drivers, office boy, electrician, plumber, carpenters etc...) · Responsible for operational & maintenance and managing of all types of equipment and assets. · All facility admin-related activities. · Responsible for all office-related purchases (opex & projects). · Should be flexible to work hours and days outside of a typical work week based on the business requirement - VIP/client visit, leaders visit, events, and any other business support · Must be available round the clock for the support of all dept leaders and promoters on a need basis/ as on business demand. Day-to-day business operations- · Training and/or supervising clerical workers.
· Oversee field staff, ensuring they are performing their duties effectively and adhering to there protocols. · Manage operations, including manpower deployment and resource allocation. · Organize unit operations, including guarding, training, and emergency response. · Field officer are responsible for employees documents(Personal files)- Once deployed employees in unit fill the personal file and hand over to HR team. · Field officer are responsible for attendance - every month before 3rd respective units attendance must submit in HR team. · Field officer are responsible for the bills – once received invoices from the accounts team submit the invoices for concern client and take acknowledgement from them and acknowledgement hand over to accounts team. · Assist in designing and implementing strategies and procedures. · Develop and maintain plans and policies. · Conduct regular reviews of plans and policies and make recommendations for improvements. · Conduct regular site inspections to identify potential vulnerabilities. · Assess work risks and make recommendations for mitigation. · Investigate employee’s incidents, accidents, and suspicious activities. · Take appropriate action as authorized by company policy. · Ensure compliance with relevant employee’s regulations and industry standards. · Maintain accurate records and reports on employee’s activities. · Train and mentor employees personnel. · Develop and maintain effective communication channels with clients and stakeholders. · Assist in developing and implementing emergency response plans.
· Design and maintain brand guidelines, logos, templates, and other visual assets. · Ensure brand consistency across all print and digital materials. · Develop creatives for rebranding or service expansion initiatives. · Design brochures, flyers, service catalogues, posters, banners, and event backdrops. · Create social media graphics, advertisements, and digital campaigns. · Create visual content for websites, email campaigns, newsletters, and digital marketing activities. · Support social media teams with creative posts, stories, reels, and ad visuals. · Design infographics, case studies, and visuals for reports or dashboards. · Design employee engagement materials (certificates, notices,ID cards, visiting cards, internal posters, newsletters). · Create visuals for training materials and internal events.
· Accurately documenting all financial transactions, including income, expenses, assets, and liabilities. · Organizing financial data into relevant categories and accounts to facilitate analysis and reporting. · Preparing financial statements like balance sheets, income statements, and cash flow statements, which provide a snapshot of the company's financial position and performance. · Examining financial data to identify trends, patterns, and areas for improvement, which helps in making informed decisions. · Preparing and presenting financial reports to stakeholders, including management, investors, and regulatory bodies. · Developing and monitoring budgets to track financial performance and make projections for the future. · Adhering to accounting standards, tax regulations, and other legal requirements. · Implementing and maintaining internal controls to safeguard assets and ensure the accuracy of financial records. · Calculating and processing employee wages and salaries, as well as managing related taxes and deductions. · Preparing and filing tax returns for the company, ensuring compliance with tax regulations. · Verifying the accuracy of financial records by comparing them to other sources of information, such as bank statements. · Providing advice and guidance to management on financial matters, such as budgeting, forecasting, and investment decisions. · HR recruitment.
