Job Summary:

The Crew Documentation and Onboarding Coordinator will be responsible for managing all crew-related documentation, arranging interviews and vessel joining logistics, and maintaining active communication with crew members to enhance retention and engagement. This role supports the crewing and sourcing team by ensuring smooth administrative processes and fostering strong relationships with seafarers throughout their employment lifecycle.

Key Responsibilities:

- Prepare, verify, and process all necessary crew documentation, including contracts, certifications, and compliance paperwork in accordance with company policies and international maritime regulations (MLC, STCW).

- Coordinate and schedule interviews between candidates and relevant stakeholders efficiently and professionally.

- Manage all logistic arrangements for crew joining vessels, including travel, accommodation, and medical checks.

- Maintain ongoing, proactive communication with crew members to address queries, assist with administrative needs, and promote crew welfare.

- Act as the primary point of contact for crew during their contract tenure, fostering positive engagement to support retention.

- Collaborate closely with sourcing and crewing teams to align recruitment and onboarding processes.

- Track and update crew records in the crewing management system ensuring accuracy and accessibility.

Qualifications and Requirements:

- Minimum 2 years of experience in crew documentation, onboarding, or maritime crewing administration.

- Strong understanding of maritime documentation requirements and compliance procedures.

- Excellent organizational and multitasking skills with strong attention to detail.

- Proficient with crewing management software and Microsoft Office suite.

- Effective communication and interpersonal skills to maintain positive crew relations.

- Ability to work under pressure and manage multiple tasks in a fast-paced environment.

- Team-oriented with a proactive and customer-service mindset.

- Improve crew retention

Preferred Qualifications:

- Prior experience in maritime crewing or HR administration.

- Knowledge of international maritime regulatory standards and crew welfare practices.

- Multilingual abilities advantageous for diverse crew communication.

Job Type: Full-time

Pay: ₹244,320.00 - ₹361,800.00 per year
