Job Description

1. Basic Information Unique Job Position (UJP) Admin Manager Reporting To Hub Head Value Stream Asset Operation Location – Hub (or Fulfillment Center) 2. Purpose of the Role The role is responsible for all Admin related activities at the warehouse and will report to the Hub Head along with Functional reporting to Regional Admin/Pan India Admin Head. The incumbent will establish processes for measuring, tracking, and driving continuous improvements while ensuring 100% adherence with the SOP related to admin activities. 3. Listing of Activities performed by the job holder to deliver the outcomes Coordinating with Landlords/Builders, legal department and executing lease agreements. Coding, recordkeeping and keeping a record of depreciation/book value of the assets. Handling of AMCs (annual maintenance contracts) of all the assets and furniture like HVAC, M & E equipment, chairs, etc. Monthly compilation of detailed MIS of complete admin activities and their costing and comparison of its variance against the given budget and monitoring of utilization of budget. Preparing CSQ (Comparative Statement of Quotations) and further sharing it with central team. Monitor Housekeeping of all facilities and regular upkeep of warehouse. Preparation and maintenance of necessary records and files for billing and payment facilitation Liaising with local authorities like police, fire dept, Electrical inspector, Labor dept.& RWA’s/Society Associations etc. Keeping record and obtaining licenses and permission from govt. bodies related to running of business. Consumable procurement at hub level and (PR/PO creation). Managing Third party logistics (TPL) for Last mile deliveries and coordination with the vendor/internal last mile team. Coordination with central team/finance team for timely processing of service related invoices. 4. Outcomes & KPIs Cost efficiency (%) Vs Target Consumables Availability & CPO (%) vs Target Transportation (Vehicle availability) vs Planned Invoice processing (Timeline) vs Planned GRN (Timeline) vs Actual GRN. Local liaisoning (Zero Notices/ Govt. & Societies escalations) Communication/Coordination. 5. Organization This role is part of Hub/Site leadership team, led by Hub Head. The incumbent works closely with other internal stakeholders such as Finance, Site HR, Hub Operations, Central Admin Team, External stakeholders include auditors and vendors (wherever applicable).
