Job Description

Job Summary:

The Mall Admin Head is responsible for overseeing and coordinating all administrative operations of the mall, ensuring efficient day-to-day functioning and support across departments including maintenance, security, housekeeping, tenant coordination, and facility management. The role ensures compliance with company policies, statutory requirements, and service standards to enhance customer experience and tenant satisfaction.

Key Responsibilities:

Administrative Oversight

  • Manage all administrative functions, including office management, documentation, SOP adherence, and reporting.
  • Ensure smooth operations of the malls support services, including housekeeping, maintenance, and security.

Tenant Coordination

  • Serve as a primary point of contact for tenants regarding operational concerns.
  • Facilitate onboarding, coordination of handover/takeover, utilities setup, and regular communications.

Facility & Vendor Management

  • Supervise facility maintenance schedules (HVAC, electrical, plumbing, etc.).
  • Manage third-party service providers (security, cleaning, landscaping) and ensure SLA compliance.
  • Oversee procurement of admin supplies and maintain budget control.

Compliance & Safety

  • Ensure compliance with statutory and safety regulations including fire safety, health codes, licenses, etc.
  • Coordinate with local authorities and conduct regular audits and drills.

Staff Management

  • Lead the admin team and coordinate across departments.
  • Allocate duties, supervise performance, and ensure training and development of support staff.

Budgeting & Reporting

  • Prepare and manage the admin budget, track expenses, and implement cost-effective practices.
  • Generate regular reports on mall operations, maintenance activities, and administrative KPIs.

Key Skills & Competencies:

  • Strong leadership and organizational skills
  • Excellent communication and interpersonal abilities
  • Knowledge of facility management and vendor negotiation
  • Proficient in MS Office and facility management systems
  • Problem-solving mindset and ability to handle pressure

Qualifications:

  • Bachelor's degree in Business Administration, Facility Management, or related field (MBA preferred)
  • Minimum 10-15 years of experience in mall administration, commercial real estate, or facility management
  • Experience handling large teams and multiple stakeholders

Working Conditions:

  • Full-time, with occasional weekend or evening work based on mall requirements
  • On-site role requiring daily presence in the mall
