Job Description

Role Overview

The Front Office cum Admin Assistant will be responsible for managing the reception area, handling incoming calls, coordinating travel arrangements, and ensuring smooth day-to-day housekeeping and office administration. The role requires excellent communication skills, a pleasant personality, and strong organisational abilities.

Key Responsibilities:-

Front Desk & Visitor Management

  • Manage the front desk and act as the first point of contact for visitors and employees.
  • Greet and assist guests professionally; maintain the visitor register and issue visitor passes.
  • Handle incoming and outgoing couriers; maintain courier logs.
  • Ensure the reception area is clean, presentable, and well-maintained at all times.

Telephone & Communication Handling

  • Attend, screen, and route incoming phone calls to appropriate departments.
  • Take accurate messages and ensure timely follow-up.
  • Manage general inquiry emails and respond or forward appropriately.

Travel Desk Coordination

  • Coordinate travel arrangements for employees, including booking flights, trains, hotels, and local transport.
  • Maintain travel records and track bookings for cost optimization.
  • Assist with itinerary preparation and ensure timely confirmations.

Housekeeping & Office Maintenance

  • Supervise housekeeping staff to ensure office cleanliness and hygiene standards.
  • Monitor consumables (pantry items, stationery, housekeeping materials) and replenish stock as required.
  • Coordinate with facility vendors for repairs, maintenance, and AMC services.
  • Ensure meeting rooms and common areas are well-maintained and ready for use.

Administrative Support

  • Assist in preparing administrative reports and documentation.
  • Support HR/Admin in organizing office events, meetings, and employee engagement activities.
  • Manage filing, documentation, and other clerical tasks as required.

Skills & Competencies

  • Excellent verbal and written communication skills.
  • Pleasant personality with a customer-service mindset.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Strong organisational and multitasking abilities.
  • Ability to work independently with a sense of responsibility.

Qualification

  • Graduate in any discipline.
  • Prior experience in front office, administration, or hospitality preferred.

Working Conditions

  • Full-time, on-site role.
  • Requires coordination across departments and vendors.
