Job Description

The Import Documentation job involves preparing, reviewing, and managing documents related to the import process to ensure compliance with regulations and coordinate with various parties for smooth operations. Key Responsibilities: - Document Preparation: Prepare and review shipping documents such as commercial invoices, packing lists, certificates of origin, and bills of lading. Ensure accuracy and completeness of all import documentation. Submit customs declarations and other forms. - Compliance and Regulations: Understand and adhere to import regulations, customs procedures, and trade laws. Ensure compliance with relevant documentation requirements. - Coordination and Communication: Coordinate with logistics teams, freight forwarders, customs brokers, and stakeholders for smooth import operations. Maintain regular communication with suppliers and clients regarding shipment status and documentation. Track shipments and resolve issues or delays. - Database Management: Maintain accurate records of import shipments and related documentation. Use import/export software for tracking and managing shipments. - Other Duties: Prepare daily status reports of imports. Collect delivery orders from shipping lines and freight forwarders. Trace shipment status through websites and personal contact. Coordinate with customs clearance departments for obtaining the required documents. Skills and Qualifications: - Education: High school diploma or equivalent; some roles may require an associate's or bachelor's degree in a related field. - Experience: 2-6 years of experience in import/export documentation, logistics, or a related field. - Skills: Strong organizational and time management skills. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite. Knowledge of import/export regulations, customs procedures, and import/export software. Ability to work independently and as part of a team. - Languages: Fluency in English is required; proficiency in other languages such as Spanish or Mandarin may be an asset.
