Job Title: Front Office Executive

Job Overview:
We are looking for an organized, friendly, and professional Front Office Executive to be the first point of contact for our clinic. This role involves managing patient appointments, handling inquiries, and ensuring smooth daily operations. The ideal candidate will have excellent communication skills, be customer-oriented, and be able to multitask effectively in a busy clinic environment.

Key Responsibilities:

  • Reception and patient greeting: Welcome patients and visitors in a warm and professional manner, ensuring they feel comfortable.
  • Appointment scheduling: Manage patient appointments, including booking, rescheduling, and cancellations. Ensure proper documentation of appointment details.
  • Phone and email communication: Answer phone calls and respond to patient inquiries, provide information on clinic services, and direct calls to the appropriate department.
  • Patient check-in and check-out: Ensure accurate patient registration and check-in, verify insurance details, and collect necessary documents. Assist patients with check-out and provide follow-up instructions.
  • Record management: Maintain and update patient records in compliance with clinic policies and confidentiality standards.
  • Billing and payments: Handle billing, process payments, and assist patients with insurance-related queries. Prepare invoices and receipts for services rendered.
  • Administrative support: Assist in managing office supplies, ensuring that the front office is organized, and that equipment is maintained.
  • Coordination with medical staff: Communicate effectively with doctors, nurses, and other staff to coordinate patient flow and ensure smooth clinic operations.
  • Customer service: Provide excellent service to patients, addressing concerns or complaints and escalating to the appropriate personnel when necessary.
  • Ensure cleanliness: Maintain a neat and professional front office environment.

Qualifications:

  • Education: High school diploma or equivalent; additional certifications in office administration or medical office management are a plus.
  • Experience: Prior experience in a front office role, preferably in a healthcare setting, is highly desirable.
  • Skills: Strong communication, organizational, and multitasking abilities. Proficiency in office software (e.g., MS Office or clinic management software).
  • Customer Service: Friendly, approachable, and professional demeanor with a strong focus on patient satisfaction.
  • Attention to Detail: Ability to handle sensitive patient information and perform administrative tasks with accuracy.

Preferred Skills:

  • Familiarity with medical terminology and healthcare processes.
  • Experience with medical billing and coding.
  • Ability to handle high-pressure situations with professionalism.

Working Conditions:

  • Environment: A clean, fast-paced clinical setting with direct interaction with patients and medical staff.

Job Type: Full-time

Pay: ₹15,000.00 - ₹20,000.00 per month
