Position: Front Office Executive

Location: Poddar Group of Institutions, Jaipur, Rajasthan

Role Overview:-The Front Office Executive serves as the first point of contact for students, parents, faculty, and visitors. This role ensures seamless operations at the reception area, delivering professional, efficient, and welcoming service while effectively managing administrative duties and supporting institutional operations.

Key Responsibilities

1. Reception & Visitor Management:-Warmly greet and direct guests, students, and staff.

Manage phone lines, transfer calls, and take clear messages.

2. Administrative Tasks:-Handle daily correspondence, emails, and official documentation.

Maintain visitor logs, issue entry passes, and ensure a secure reception area.

Schedule and coordinate meetings, appointments, and campus visits.

3. Communication & Coordination:-Liaise between departments to communicate messages, information, and queries.

Ensure timely follow-up on incoming requests (phone, email, in-person).

Coordinate with vendors, courier services, and facility teams for smooth campus operations.

4. Student & Parent Assistance:-Provide general information on courses, events, fee structures, and campus facilities.

Address and escalate concerns or queries to appropriate departments.

5. Office Management & Supplies:-Monitor and replenish reception/relevant office stationary and supplies.

Ensure communal areas (waiting area, meeting rooms) are clean, well-organized, and welcoming.

6. Support for Institutional Activities:-Assist during open houses, admission drives, seminars, and conferences.

Prepare and distribute materials such as flyers and guest badges.

Required Qualifications & Skills:-

Category Requirements Education Diploma/Graduation in any discipline Experience 1–3 years in front office, reception, customer service, or administrative roles (preferably in education)Communication Excellent verbal and written communication in English and Hindi Technical Skills Proficient with MS Office tools (Word, Excel, Outlook); familiarity with basic office equipment Interpersonal Friendly, professional demeanor; ability to interact effectively with diverse stakeholders Organizational Excellent multitasking and time-management skills; keen attention to detail Attitude Proactive, service-oriented, adaptable; ability to work independently and collaboratively

Preferred Attributes:-Prior experience in an educational institution.
