Job Description

Job Summary:

We are seeking a dynamic and customer-focused Front Office Executive to manage our reception area and support day-to-day administrative and billing activities. The ideal candidate will be the first point of contact for visitors and customers and must be able to handle front desk operations efficiently while extending support to the billing department when required.

Key Responsibilities:

  • Greet and assist visitors, clients, and vendors in a warm and professional manner.
  • Answer, screen, and route incoming calls efficiently.
  • Maintain a clean and organized reception area.
  • Handle incoming and outgoing mail and courier services.
  • Schedule appointments and manage staff calendars as needed.
  • Provide administrative support including data entry, document filing, photocopying, and scanning.
  • Share accurate information with visitors regarding services, appointments, or other queries.
  • Monitor front office supplies and place orders when necessary.
  • Ensure office security by monitoring visitor access and maintaining visitor logs.

Billing Support Responsibilities:

  • Assist with basic billing tasks such as invoice preparation, data entry, and bill generation.
  • Coordinate with the billing/accounts team to ensure accurate and timely processing.
  • Provide billing-related support during peak hours or when additional assistance is required.
  • Maintain confidentiality and accuracy in handling billing data and customer transactions.

Work Schedule:

  • Working Days: Saturday & Sunday are mandatory working days.
  • Weekly Off: Any 4 weekdays (Mon–Fri) off during the month (1 day per week on rotation).
  • Weekday Working Hours: 10:00 AM to 8:00 PM
  • Weekend Working Hours (Sat & Sun): 10:00 AM to 9:00 PM

Required Skills & Qualifications:

  • Freshers or Minimum 1 of experience in front office, customer service, or administrative roles.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Pleasant personality with a customer-first approach.
  • Ability to multitask and handle stress in a fast-paced environment.
  • Willingness to support the billing process as required.
  • High school diploma required; bachelor's degree or additional training in administration or billing is an advantage.

Preferred Qualifications:

  • Experience in a healthcare, hospitality, or service-based industry.
  • Familiarity with basic accounting or billing software.

Job Type: Full-time

Pay: From ₹15,000.00 per month
