Position Overview

The Front Desk & Office Management Executive serves as the first point of contact for students, parents, staff, and visitors, ensuring a welcoming and professional environment. In addition to managing daily office operations, the role includes procurement responsibilities to support the smooth functioning of the school. The ideal candidate will be technically proficient, detail‑oriented, and capable of handling diverse administrative tasks in a fast‑paced international school setting.

Key Responsibilities

  • Front Desk Operations:
  • Greet and assist visitors, parents, and staff with professionalism.
  • Manage incoming calls, emails, and inquiries, ensuring timely responses.
  • Maintain visitor logs and security protocols.
  • Office Administration:
  • Oversee daily office operations, supplies, and facility needs.
  • Coordinate scheduling of meetings, events, and appointments.
  • Support HR and academic departments with documentation and communication.
  • Procurement & Vendor Management:
  • Identify, evaluate, and liaise with vendors for school supplies and services.
  • Prepare purchase orders, track deliveries, and ensure timely payments.
  • Maintain accurate records of procurement activities and budgets.
  • Technical Proficiency:
  • Use MS Office Suite, Google Workspace, and school management software effectively.
  • Manage digital records, databases, and reporting tools.
  • Support HR during interview processes , IT coordination for front desk systems and office equipment.
  • Stakeholder Communication:
  • Draft and circulate professional emails, notices, and memos.
  • Coordinate with parents, staff, and external partners for smooth operations.
  • Ensure communication aligns with the school’s international standards.

Desired Qualifications

  • Educational Background: Bachelor’s degree in Business Administration, Office Management, or related field.
  • Experience: 2–4 years in front desk, office administration, or procurement roles (preferably in schools or corporate settings).
  • Skills: Strong organizational, multitasking, and communication skills; ability to work under pressure.
  • Technical Skills: Proficiency in MS Office, Google Workspace, and ERP/school management systems.
  • Interpersonal Skills: Professional demeanor, cultural sensitivity, and ability to interact with diverse stakeholders.

Job Type: Full-time

Pay: ₹25,000.00 - ₹40,000.00 per month
