Job Description

Floor In-charge – Roles & Responsibilities

1. Cleanliness & Hygiene

  • Ensure all classrooms, corridors, washrooms, and common areas are clean and well-maintained.
  • Monitor housekeeping staff performance and assign daily cleaning tasks.
  • Maintain cleaning checklists and ensure adherence to schedules.
  • Report any sanitation or hygiene concerns immediately.

2. Discipline & Student/Staff Monitoring (for Schools/Colleges)

  • Ensure students follow discipline during class hours, transitions, and breaks.
  • Handle minor disciplinary issues and escalate major concerns to the coordinator/Principal.
  • Monitor student movement during class time.
  • Ensure teachers follow timetable and classroom routines.

3. Safety & Security

  • Check that emergency exits, staircases, and corridors are free of obstruction.
  • Report any safety hazards (broken fixtures, electrical issues, etc.).
  • Coordinate with security for visitor movement on floors.

4. Facility Management

  • Check classrooms for:
  • Working fans/lights/projectors
  • Bench arrangements
  • Notice boards
  • Classroom inventory
  • Report repairs/maintenance issues to the Admin Department.

5. Staff Coordination

  • Act as the point of contact between admin, housekeeping, teachers, and management.
  • Ensure housekeeping and support staff are punctual and performing duties.
  • Assist new staff with orientation on floor-level operations.

6. Documentation & Reporting

  • Maintain:
  • Daily cleanliness checklist
  • Breakage/damage report
  • Discipline log (if applicable)
  • Maintenance request register
  • Submit daily/weekly reports to Administration or Principal Office.

7. Inventory Control (If Applicable)

  • Ensure adequate stock of:
  • Cleaning materials
  • Classroom supplies (chalk, markers, dusters)
  • Prevent misuse or wastage of resources.

8. Event & Exam Support

  • Arrange classrooms for exams, events, and special activities.
  • Coordinate with exam cell/administration for hall arrangements.
  • Ensure proper seating, signage, and orderliness.

Stationary In-charge:

1. Job Purpose

The Stationery Incharge is responsible for managing all stationery-related operations, including procurement, storage, issuance, stock control, and maintenance of accurate inventory records. The role ensures availability of required materials for teaching, office, and support staff without delays or wastage.

2. Key Responsibilities

A. Inventory Management

  • Maintain updated stock of all stationery items (markers, pens, registers, files, printing materials, etc.).
  • Conduct daily/weekly/monthly inventory checks.
  • Ensure adequate buffer stock to avoid shortages.
  • Prevent misuse, wastage, or pilferage of stationery.

B. Procurement Support

  • Identify items that require replenishment and raise purchase requests on time.
  • Coordinate with vendors and admin for timely supply.
  • Verify quality and quantity of delivered items before acceptance.
  • Maintain price lists and vendor details for reference.

C. Issuance & Distribution

  • Issue stationery to teachers, departments, and support staff based on approved requisitions.
  • Maintain records of issued items with signatures.
  • Ensure fair distribution as per standard norms.

D. Store & Record Maintenance

  • Organize stationery store in a systematic manner.
  • Maintain stock registers (manual or digital) accurately.
  • Track consumption patterns and raise alerts for unusual usage.
  • Maintain proper labeling, FIFO (First In – First Out), and storage hygiene.

E. Reporting & Documentation

  • Prepare weekly/monthly stock usage reports.
  • Update management on shortages, consumption trends, new requirements, etc.
  • Maintain purchase and issue records for audit purposes.

F. Coordination

  • Coordinate with:
  • Admin department
  • Accounts team
  • Teachers & HODs
  • Vendors
  • Support events and examinations with required stationery supplies.

G. Maintenance

  • Ensure all stationery items are stored safely (markers sealed, registers protected, materials dust-free).
  • Ensure printing stationery is kept moisture-free.

3. Skills & Competencies Required

  • Strong organizational & record-keeping skills
  • Basic computer knowledge (Excel, inventory software, Google Sheets)
  • Attention to detail
  • Ability to manage stock and prevent shortages
  • Good communication & coordination skills
  • Integrity and accountability

4. Qualification & Experience

  • Minimum 10th/Intermediate; graduates preferred
  • 1–3 years experience in storekeeping / stock management / admin
  • Knowledge of inventory management principles

5. Work Schedule

  • Full-time role as per institutional timings
  • May require additional hours during exams, events, or audits
