Role & responsibilities

Data Management & Reporting: Compile and organize sales and operational reports, dashboards, and KPIs. Help the management in keeping track Key performance indicators. Present this data in comprehensible format for decision-making.

  • Meeting Preparation: Prepare agendas, presentations, and materials for meetings. Ensure that the Director has all necessary documents and information ahead of time.
  • Internal and External Communication: Handle emails, phone calls, and other forms of communication on behalf of the Director. Ensure timely responses to urgent matters and filter less critical communications.
  • Liaison Between Departments: Act as a point of contact between the Director and other departments, including sales, production, supply chain, and finance. Ensure that necessary information flows smoothly between stakeholders.
  • Customer and Vendor Relations: Manage key customer and vendor relationships, schedule follow-up meetings, and ensure the Director is informed of any critical sales or operational issues.

Project Coordination:

  • Sales & Operations Projects: Assist in coordinating ongoing sales and operations projects by tracking progress, organizing tasks, and ensuring deadlines are met. Work closely with project managers, sales teams, and operations teams to facilitate collaboration.
  • Process Improvement Initiatives: Help the Director with operational improvements and sales optimization by supporting internal initiatives,
  • Sales Forecasting: Collaborate with the sales team to help the Director track sales performance against targets, maintain accurate sales forecasts, and adjust strategies as needed.

Time Management & Prioritization:

  • Managing Priorities: Anticipate the Directors needs and prioritize tasks to ensure urgent matters are addressed quickly while maintaining long-term strategic objectives. Be able to shift focus depending on the situation (e.g., sales deadlines vs. operational challenges).
  • Problem-Solving: Identify issues early on and work to resolve them efficientlywhether related to scheduling conflicts, team coordination, or operational bottlenecks.
