Job Title: FEMALE CANDIDATES ONLY FEMALE CANDIDATE , Secretary to the CEO – Travel, Admin & Executive Support Location: Kharagpur, West Bengal, India Department: Executive Office Reports To: Chief Executive Officer (CEO) Job Type: Full-Time | On-Site Job Summary: We are seeking a highly organized, proactive, and discreet Secretary to the CEO to manage a wide range of executive support duties, including travel management, administrative coordination , and other high-level tasks. This role is based in Kharagpur and is ideal for a candidate who thrives in a fast-paced, executive environment and can operate with high levels of confidentiality and efficiency. Key Responsibilities: 1. Travel Management Plan, coordinate, and book national and international travel itineraries for the CEO (flights, hotels, ground transportation, visas). Handle last-minute changes or rescheduling with efficiency and minimal disruption. Maintain detailed travel calendars and expense reports. 2. Administrative Support Manage the CEO’s schedule, appointments, and meetings with accuracy and confidentiality. Organize and coordinate executive-level meetings, including logistics, agendas, minutes, and follow-ups. Handle correspondence, calls, and document filing in a timely and confidential manner. Maintain office supplies and coordinate with the admin team for CEO’s logistical needs. 3. Communication & Liaison Serve as the first point of contact between the CEO and internal departments, clients, and external partners. Prepare and edit reports, memos, presentations, and communications on behalf of the CEO. Ensure smooth communication flow across the executive office and other departments. 4. Special Assignments Assist with confidential projects, research, and data compilation as assigned by the CEO. Act as a coordinator for executive initiatives, off-sites, and review meetings. Qualifications: Bachelor’s degree in Business Administration, Commerce, or related field. Minimum 4–6 years of experience in an executive assistant or secretarial role, preferably supporting senior leadership. Prior experience in travel coordination and administrative work is mandatory. Excellent written and verbal communication skills in English. Proficiency in MS Office (Outlook, Word, Excel, PowerPoint). Strong multitasking ability, attention to detail, and a proactive approach.
