Job Summary
We are looking for a proactive, highly organized, and discreet Executive Assistant (EA) who can also serve as a project manager, organizer, and jack of all trades. This is not a traditional EA role the ideal candidate will act as a force multiplier across teams, supporting both strategic and administrative functions, with exposure to highly confidential and business-critical projects.
Key Responsibilities:
Executive Support & Calendar Management
- Act as the Executive Assistant to senior leadership, helping manage complex and dynamic calendars.
- Coordinate and optimize scheduling, meeting planning, travel logistics, and follow-ups across global time zones.
- Anticipate scheduling conflicts and proactively resolve them.
Project Coordination & Operational Oversight
- Act as a
project manager and operational coordinator
, ensuring projects move forward efficiently. - Track key deliverables, chase timelines, and coordinate across multiple stakeholders.
- Identify blockers and proactively suggest solutions.
Legal Repository Ownership
- Fully own and
maintain the companys legal repository
, ensuring it is organized, current, and secure. - Manage legal documents, contracts, NDAs, and compliance records in coordination with legal or external counsel.
Confidential Minute Taking & Meeting Support
- Join and support
extremely confidential projects
, attending high-stakes meetings and capturing detailed minutes. - Track and follow up on action items while maintaining the highest level of discretion.
Cross-functional & Ad-hoc Support
- Be a
jack of all trades
support various business units as needed (Finance, Legal, HR, Ops). - Liaise with internal and external stakeholders, including vendors, consultants, and leadership teams.
Ideal Candidate:
- 3–7 years of experience in a hybrid EA/project coordination role, preferably in fast-paced or high-growth environments.
- Demonstrated ability to handle sensitive and confidential information with discretion.
- Strong organizational and multitasking skills with sharp attention to detail.
- Experience managing executive calendars and coordinating across global teams.
- Prior exposure to
legal or compliance document management
is a plus. - Experience
working with U.S.-based clients
or cross-border teams in overlapping time zones. - Excellent verbal and written communication skills.
- Comfortable working in ambiguous environments and wearing multiple hats.
Candidate must be comfortable working in night shift
- This is a remote WFH opportunity
