Job Description

Job Title: Executive Assistant (EA) Location: Sector 33, Gurgaon Shift Timings: 5:30 PM to 2:30 AM (WFO) Job Overview: We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to provide comprehensive support to our executive team. The ideal candidate will have strong communication skills, the ability to manage multiple priorities, and a commitment to delivering high-quality service. The EA will play a critical role in supporting senior leadership and ensuring smooth operations within the company. Key Responsibilities: Executive Support: Manage the executives calendar, including scheduling appointments, meetings, and travel arrangements. Act as a liaison between the executive and internal/external stakeholders. Prepare and review meeting agendas, take meeting notes, and track action items. Prioritize incoming requests and emails, responding on behalf of the executive when necessary. Administrative Duties: Handle confidential information and correspondence with discretion. Draft, proofread, and send correspondence such as emails, letters, and presentations. Organize and maintain office systems and files, ensuring all documentation is up to date. Assist with the preparation of reports, presentations, and data analysis. Event Planning: Coordinate and manage logistics for internal and external meetings, conferences, and events. Prepare materials for presentations, conferences, and events. Support in organizing company-wide events and team-building activities. Project Management: Assist in managing cross-functional projects by tracking timelines and ensuring deadlines are met. Provide logistical and administrative support to ensure projects are delivered on time. Travel Coordination: Arrange complex international and domestic travel, including flight bookings, accommodations, and transportation. Prepare detailed itineraries and manage any changes to travel plans. Qualifications: Education: Bachelor's degree preferred; equivalent work experience may be considered. Experience: Minimum of 5 years of experience as an Executive Assistant, or in a similar administrative role. Proven ability to manage multiple priorities and thrive in a fast-paced environment. Skills: Exceptional organizational and time-management skills. Strong written and verbal communication skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software. Ability to maintain professionalism and confidentiality at all times. Experience with travel booking systems and meeting scheduling tools. Personal Attributes: Strong attention to detail and problem-solving skills. Ability to work independently and as part of a team. Excellent interpersonal skills and the ability to build relationships with all levels of the organization.
