About the Role: We are seeking a highly organized and detail-oriented Sales Operation Support Specialist with proven experience in tender processes and Workplace Technology Solutions (WTS) to join our dynamic sales team. This role plays a critical function in enabling sales productivity by supporting administrative processes, managing tender documentation, coordinating cross-functional stakeholders, and ensuring smooth execution of sales operations. Key Responsibilities: Tender & Bid Management: Coordinate and manage the end-to-end tender process including RFIs, RFPs, and RFQs. Work closely with sales, legal, pricing, and technical teams to develop and submit compliant, competitive, and compelling proposals. Maintain a library of standard tender responses and documentation for future use. Ensure all deadlines are met with high-quality, accurate submissions. Sales Operations Support: Provide administrative and operational support to the sales team to streamline workflow and improve efficiency. Assist in maintaining CRM data integrity, tracking sales activities, and generating regular reports and dashboards. Support the order-to-cash process including quote preparation, contract management, and sales documentation. Workplace Technology Solutions Coordination: Work with solution architects and product managers to support the configuration and documentation of workplace technology offerings such as AV, collaboration tools, IoT, smart office solutions, etc. Ensure proposals align with customer requirements and the company's technology roadmap. Maintain an up-to-date understanding of WTS portfolio and key differentiators. Cross-functional Collaboration: Liaise with procurement, finance, legal, and technical teams to ensure a unified approach to sales opportunities and bids. Monitor and manage communication between internal stakeholders and clients during the sales cycle. Requirements 2+ years of experience in a Sales Support, Sales Operations and Bid/Tender Management role. Strong understanding of Workplace Technology Solutions (e.g., smart workplace tools, collaboration platforms, AV/IT solutions). Proven experience managing complex tenders in the public or private sectors. Proficiency with CRM platforms, MS Office Suite and document collaboration tools. Excellent organizational skills, attention to detail, and ability to manage multiple priorities under tight deadlines. Strong written and verbal communication skills. Position Overview: DVI Solutions is seeking a detail-oriented AV Technical Documentation & Knowledge Base Specialist to create, maintain, and organize our technical knowledge base for AV solutions. This role combines technical expertise with clear communication to produce high-quality documentation, diagrams, and learning resources supporting engineers, pre-sales teams, and clients. You will transform complex AV concepts into easy-to-understand guides, system diagrams, and troubleshooting resources for internal and external audiences. Key Responsibilities: Develop detailed, user-friendly knowledge base articles on AV concepts, products, and integrations, including both basic and advanced topics (e.g., "What is a DSP?" and "AV over IP basics") Produce configuration and setup guides for key AV brands such as Crestron, Biamp, Q-SYS, and Shure Create technical diagrams, including single-line diagrams, signal flow charts, and rack layouts, while maintaining standardized templates Establish and maintain style guides; organize knowledge base content by categories like concepts, product guides, troubleshooting, and best practices Collaborate with engineers, project managers, and pre-sales staff to capture technical details; conduct interviews and site visits as needed Manage and update articles in platforms such as Confluence, SharePoint, or Zendesk to keep documentation current Requirements Skills and Qualifications: Required: 3+ years in technical writing, documentation, or AV engineering roles Strong knowledge of AV systems (DSPs, control systems, AV over IP) Proficiency in diagramming tools such as Microsoft Visio, AutoCAD, or Lucidchart Excellent English communication skills and strong organizational ability Preferred: Experience with Crestron, Biamp, Q-SYS, Extron, AMX, or similar systems Familiarity with knowledge base platforms (Confluence, SharePoint, Zendesk Guide) Background in AV integration, support, or pre-sales Key Skills: Ability to explain complex technical concepts clearly and concisely Strong skills in creating technical diagrams and visuals Knowledge of AV installation, configuration, and troubleshooting best practices Understanding of structured documentation processes Sample Deliverables: Knowledge Base Article: "Understanding DSPs in Modern AV Systems."
