Job Summary: Responsible for handling all documentation and compliance requirements related to international shipments. The role involves preparing, verifying, and managing export documents, ensuring adherence to global trade regulations, coordinating with various stakeholders, and facilitating smooth logistics operations. Key Responsibilities: 1. Export Documentation Management Prepare and verify shipping documents such as commercial invoices, packing lists, bills of lading, certificates of origin, and documentations complying letters of credit in SAP linked documentation system. Ensure documents comply with international trade regulations and country/client requirements. Maintain records of shipments and export documents for audit and compliance. 2. Regulatory Compliance & Coordination Ensure adherence to customs regulations, export control laws, and country-specific trade policies. Coordinate with freight forwarders, shipping lines, and customs brokers for smooth clearance of shipments till final delivery Obtain necessary regulatory approvals such as export permits, licenses, and certifications. 3. Coordination with Internal & External Stakeholders Liaise with customers, banks for documentation approvals. Work closely with the supply chain, finance, and international marketing teams to ensure timely order processing and shipment. Coordinate with insurance companies for cargo insurance coverage and claims, if any. 4. Freight & Logistics Support Monitor shipment status and update stakeholders on ETA, delays, or discrepancies. Track and manage shipments to ensure on-time delivery to customers. Assist in freight cost optimization by comparing different logistics options. 5. Handling Letters of Credit & Bank Documentation Review and comply with LC terms to avoid discrepancies and ensure smooth payments. Coordinate with banks for document submission, amendments, and negotiations. 6. Problem Resolution & Customer Service Resolving queries regarding delays, disputes, and discrepancies in documentation/cargo. Provide support to customers regarding export procedures, regulations, and documentation. Ensure customer satisfaction by proactively handling queries and concerns. 7. Reporting & Data Management Maintain export records, reports, and shipment databases for easy tracking and reference. Prepare periodic reports on shipment status, freight costs, and compliance issues Educational Background: Bachelor's degree Certification in Export-Import management is an added advantage. Overall knowledge of Pre to post shipment documentation mainly of USA market with focus on serialisation Technical Skills: Knowledge of INCOTERMS, HS codes, export laws, and international shipping procedures. Proficiency in MS Office (Excel, Word, Outlook), SAP systems Familiarity with banking processes for LC Experience: 10 -12 years of experience in export documentation Prior experience in handling shipments for pharmaceutical companies
