The Global Learning Enablement (GLE) organization, a part of our client who is the world’s largest and most broadly based healthcare company. They are a multinational pharmaceutical, biotechnology, and medical technologies corporation.

They are currently looking for a CVENT System Administrator to manage and optimize the CVENT Digital Platform. This role is critical in managing and optimizing the platform to ensure seamless user access, data integrity, and system functionality. The Administrator will collaborate with the Learning Delivery teams to maintain documentation, provide training, and drive continuous improvements that enhance platform adoption and effectiveness.


Job Description


Key Responsibilities:

System Administration & User Access

  • Create, update, or deactivate user accounts based on organizational needs.
  • Assign and modify user roles to ensure appropriate permissions.
  • Manage event roles, ensuring unique naming conventions and historical integrity.

Platform Configuration & Event Management

  • Create and maintain standardized platform assets, including reusable event and session templates, registration workflows, form libraries, and global settings. Ensure consistency and historical integrity by enforcing naming conventions, event lifecycle standards, and retention/archival rules.
  • Design, configure, and manage automated notifications, status updates, and search settings to streamline event workflows and enhance attendee communication.
  • Validate templates and configurations in sandbox/staging, perform pre-launch QA/test runs, and coordinate configuration promotion to production to reduce incidents and ensure go/no-go readiness.

Security, Compliance & Governance

  • Serve as the first point of contact for system issues; troubleshoot and resolve problems efficiently. -Regularly review and adjust permissions to align with organizational needs.
  • Maintain security best practices across the platform.
  • Document incidents and resolutions for continuous improvement.

Data Integrity & Reporting

  • Ensure compliance with data management principles and maintain historical reporting accuracy.
  • Collaborate with Data Analytics to validate reporting, ensure data quality, and deliver operational insights.

Documentation, Training & Support

  • Maintain up-to-date governance, process documentation, SOPs, and knowledge base articles, ensuring all materials are accurate, current, and aligned with organizational standards
  • Provide training on platform functionalities for core teams and users.
  • Share updates on new features and best practices to maximize engagement.

Continuous Improvement

  • Stay updated on CVENT platform enhancements and industry best practices. -Incorporate user feedback to improve system usability and efficiency.
  • Continuous improvement - leverage AI to support the many capabilities of CVENT.


Qualifications


Education & Experience:

  • Bachelor’s degree required; degree in Information Systems, Business, or related field preferred. -Previous experience with the CVENT platform is strongly preferred.
  • Proven experience managing digital platforms, user management, and role-based access control.
  • Experience with event management software, automation tools, and integrations (API, database management) is highly desirable.

Required Skills:

  • Strong proficiency in managing digital platforms and role-based access control.
  • Advanced knowledge of event management systems and platform configuration.
  • Familiarity with workflow automation tools (e.g., Power Automate, Power Apps) and integrations (API, database management).
  • Strong analytical skills for troubleshooting and resolving technical issues.
  • Ability to manage data integrity and ensure accurate reporting across systems.
  • Excellent documentation skills for governance and compliance.
  • Strong communication and collaboration abilities to work with cross-functional teams and global teams.
  • Ability to translate technical concepts into clear guidance for non-technical stakeholders.
  • High attention to detail and commitment to security best practices.
  • Adaptability to learn new technologies and implement continuous improvements.
  • Experience working in global teams with flexibility to accommodate multiple time zones and extended hours when required.
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.

Preferred:

  • Familiarity with workflow automation tools (Power Automate, Power Apps).
  • Experience in shared services or technology governance environments.
  • Certifications in project management or IT systems administration
