Position Summary: The Executive Assistant (EA) to the Director provides high-level administrative support to ensure the Director’s time is maximized and strategic goals are met. This role requires exceptional organizational skills, discretion, and the ability to anticipate the Director's needs in a fast-paced and dynamic environment. The EA serves as a trusted liaison between the Director and internal/external stakeholders. Key Responsibilities: 1. Calendar & Schedule Management · Manage and coordinate complex calendars, meetings, and travel plans. · Prioritize meeting requests and optimize the Director's daily agenda. · Ensure the Director is prepared for meetings with agendas, briefs, and relevant materials. 2. Communication & Correspondence · Draft, review, and manage internal and external communications on behalf of the Director. · Handle confidential correspondence with utmost discretion. · Act as the primary point of contact between the Director and stakeholders. 3. Meeting & Event Coordination · Organize internal and external meetings and events. · Take minutes, track action items, and follow up on deliverables. · Coordinate logistics for board meetings and leadership off-sites. 4. Administrative & Operational Support · Manage documents, records, and filing systems in an organized and accessible manner. · Submit expense reports, track budgets, and handle reimbursements. · Provide general office support including task tracking, procurement, and coordination. 5. Strategic & Project Support · Assist in the execution of strategic initiatives and special projects. · Conduct basic research and prepare presentations or reports as needed. · Identify opportunities to improve administrative processes. 6. Stakeholder & Relationship Management · Foster strong relationships across departments and with external partners. · Represent the Director professionally in all interactions. Key Performance Indicators (KPIs): · Calendar accuracy and meeting preparation effectiveness. · Communication & Information Flow. · Response time for correspondence and tasks. · Message accuracy (e.g., error-free communication relays between stakeholders). · Handle sensitive information with professionalism. · Task/project completion rate and timeliness. · Executive and stakeholder satisfaction (feedback score). · Confidentiality and discretion in handling sensitive information. Qualifications: · Bachelor’s degree in Business Administration, Communications, or a related field (preferred). Experience: · Minimum 3–5 years of experience as an Executive Assistant or in a similar administrative role. · Prior experience supporting C-suite or senior-level executives is a strong asset. Skills: · Exceptional organizational and time-management skills. · Excellent verbal and written communication. · High level of discretion and professionalism. · Proficiency in Microsoft Office Suite, Google Workspace, and calendar/email tools. · Ability to multitask and prioritize under pressure.
